Job description

Established by MD Financial Management Inc. and Scotiabank, the Medicus Pension Plan is currently open to incorporated physicians in Alberta, British Columbia, Newfoundland and Labrador, Nova Scotia, Ontario, Prince Edward Island, and the Territories.

As a Manager, Pension Services, you will be responsible for contributing to the overall success of the Medicus Pension Plan by managing the delivery of pension administration services ensuring specific individual goals, plans, initiatives are executed/delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies, and procedures.

Is this role right for you? In this role you will:

  • Support the day-to-day administration of pension benefits for members of the Plan.
  • Work closely with the third-party pension administrator to manage member data, support services, and inquiries.
  • Understand and document processes, including developing various job aids and training materials related to tools and systems, to ensure all administrative tasks are performed efficiently and accurately.
  • Facilitate discussions between Medicus leadership and the third-party pension administrator to elicit requirements, solution options, and other information to support well-informed business decisions about system or process improvements.
  • Ensure that all processes follow established protocols and regulatory guidelines while seeking opportunities for operational improvements.
  • Work with key stakeholders to ensure accurate administration of member data and pension plan provisions, including the interpretation of the plan text and plan policies.
  • Manage the resolution of 2nd & 3rd tier escalations from third-party vendors as well as daily monitoring of Medicus support mailboxes.
  • Manage the execution and delivery of cyclical administration projects.
  • Work in partnership with the third-party pension administrator and project management team on the development of planning calendars and key dates.
  • Manage various administration elements of projects.
  • Support the implementation of systems changes and upgrades to improve pension administration processes and member experience.
  • Perform back-testing of changes to tools and systems to ensure the accuracy and reliability of pension calculations and related tools.
  • Develop and maintain digital form templates for pension buybacks, year-end attestations, and other pension-related applications.
  • Review annual statements, pension option packages, tax packages, and other key documents for alignment with regulatory changes and industry best practices, as well as accuracy, consistency, and clarity before distribution to plan members.
  • Support plan members with the completion of administrative tasks as required.
  • Manage back-office administration services to enable business development and growth strategies.
  • Coordinate training and support for internal teams on updated pension processes and tools.
  • Provide administrative support to team members, including coordination of team resourcing and calendars to efficiently staff prospect discovery meetings.
  • Prepare standard reports and other materials for Medicus leadership and other key stakeholders.
  • Build, run, and review reports to streamline reporting and validate data quality.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursue effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct, and the Global Sales Principles, while ensuring the adequacy, adherence to, and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions, and conduct risk.

The Must Haves:

  • Undergraduate university degree with at least 5 years’ experience in pension benefit administration or other highly analytical position.
  • Strong mathematical aptitude and analytical skills.
  • Strong Microsoft Excel, Word, and PowerPoint skills. Experience with Salesforce and/or OneSpan would be an asset.
  • Strong interpersonal and communication skills, both written and oral, with demonstrated expertise in interacting with all levels of management.
  • Strong relationship building and influencing skills to develop and maintain effective partnering relationships with key stakeholders.
  • Demonstrate effective time management and priority setting skills.
  • Demonstrate sound judgment, flexibility, resourcefulness, and problem-solving capabilities.
  • Solid knowledge of case management principles and practices.
