The business units are supported by enterprise-wide functions that set strategic direction, establish standards and provide governance, as well as supporting the business through shared services, centres of excellence and business partnering.

Reporting to the Head, HR Services & System Transformation, the Manager, Office Services is responsible for coordinating and running the efficient delivery of a variety of office and personnel services and infrastructure, as well as the Teck travel management and executive auto programs.

Responsibilities

  • Be a courageous safety leader, adhere to and sponsor safety, wellness and environmental rules and procedures
  • Lead staff in areas of Office & Library Services alongside office lease and sub-lease arrangements with tenant and landlord
  • Coordinate with the Executive Vice President and Chief Legal and Sustainability Officer to arrange for subleases, new Vancouver leases, relinquishment of space and renovations
  • Work with Office Redesign Program Manager to support office redesign initiatives, including design, strategy, and implementation
  • Coordinate all internal moves to ensure compliance with Teck’s requirements and building standards
  • Own the $7M Travel program and update the Corporate Travel Policy as required
  • Negotiate semi-annual contracts with airlines and North American car rental supplier(s)
  • Administer an annual international hotel RFP process to ensure cost-effective hotels are available in the cities in which we frequent or have office/site locations (approximately 100 hotel properties)
  • Manage Travel Agency relationship, address employee travel service concerns and liaise with other Teck travel agencies and Teck Site Travel Reps to ensure discounts are shared
  • Handle the executive & site vehicle leases and vehicle allowance program, including policy and guidelines, and taxable benefits
  • Run the parking account for Bentall 5 and be responsible for the coordination of program benefits and taxable benefit calculations
  • Prepare, handle and approve costs for the Office Services budget of over $9 million
  • Liaise with building owners and building services representatives regarding day-to-day maintenance, safety and security issues, renovations, leasing and to ensure Teck is up to date with building information
  • Lead the policy and be responsible for the administration of tickets for the Rogers Arena suite and club seats, including catering
  • Ensure the Office Services staff provides courteous and professional assistance to all employees and guests to the company
  • Supervise the efficient, reliable, and timely delivery of intra-company mail
  • Ensure provision of cost-effective purchasing of office supplies, equipment, office furniture and miscellaneous services relating to office moves & maintenance
  • Negotiate leases and contract terms while conducting RFP call-outs every 2-4 years
  • Handle the Corporate Credit Card program for Vancouver, USA and Canadian sites to ensure all guidelines and protocol are followed
  • Supervise office safety initiatives and programs in the Vancouver office which includes providing resource training to Emergency Crew, updating Teck's Emergency Plan and other safety related documents while ensuring adequate safety and emergency supplies are present on every floor
  • Liaise with Bentall 5 building management to address any safety concerns
  • Conduct special projects and handle special requests from senior management, relating to administration as assigned

Qualifications

  • Secondary level education diploma; two-year degree or related post-secondary education preferred
  • Related certification or certificate preferred
  • 7-10 years of related work experience in a corporate environment
  • Demonstrated experience in crafting and leading teams comprised of employees, vendor partners, contractors, and consultants, handling their associated budgets
  • Previous management and leadership experience
  • Strong ability to problem solve
  • Strong planning and organizational skills with a strong attention to detail
  • Excellent communication, interpersonal and collaboration skills

Salary Range: $135,000.0 - $167,000.0

The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
