Overview

The Manager, Office Services is responsible for overseeing the daily operations and long-term planning of office facilities and services, ensuring a functional, efficient, and welcoming environment for employees, clients, and visitors. This role encompasses managing the office services team, building and implementing office processes, and creating a positive employee experience. Additionally, the Manager will collaborate with Stagwell agency teams to meet their specific needs and lead event management efforts for agency, client, and internal events.

Responsibilities

Office Operations Management

  1. Oversee day-to-day office operations, ensuring all facilities, services, and resources are functional and well-maintained.
  2. Develop and implement policies and procedures to optimize office services and operational efficiency.
  3. Monitor and manage budgets for office services, supplies, and facilities-related expenses.
  4. Collaborate with IT and security teams to maintain and improve office systems, including building access control, office tech, and our desk booking tool.

Team Leadership and Development

  1. Lead, mentor, and support the Office Services Team, ensuring clear roles, responsibilities, and performance standards.
  2. Facilitate team training and professional development opportunities to enhance service delivery.
  3. Foster a collaborative and motivated team environment that aligns with organizational values.

Agency and Employee Support

  1. Act as the primary liaison for agency leadership, understanding and addressing their specific office needs.
  2. Coordinate onboarding and office setup for new agency staff, ensuring a smooth transition into the workspace.
  3. Address employee inquiries and feedback related to office services to enhance workplace satisfaction.

Vendor and Stakeholder Coordination

  1. Manage relationships with vendors and service providers, including cleaning services, maintenance contractors, and supply vendors.
  2. Manage contracts and service agreements to ensure cost-effective and high-quality service delivery.
  3. Collaborate with building management and external partners to address office and facility needs.
  4. Responsible for department budgets and reconciliation.

Compliance and Safety

  1. Ensure compliance with health, safety, and environmental regulations.
  2. Manage and maintain emergency preparedness plans, including fire safety and evacuation protocols.
  3. Manage Health & Safety program including JHSC, required postings, maintaining first-aid stations, and addressing any facility related compliance deficiencies or risks.

Qualifications

  1. 3-5+ years of experience in administration, office management, or operations.
  2. Proven experience with office shipments, couriers, and mailroom/shipping processes.
  3. Strong organizational and multitasking skills with the ability to prioritize competing demands.
  4. Excellent communication and interpersonal skills to collaborate with cross-functional teams and external stakeholders.
  5. High proficiency and aptitude with office technology and tools.

Compensation

In order to comply with equal pay and salary transparency laws in various locations, we believe the target range of base compensation for this role is 65,000-75,000 CAD. Actual compensation is influenced by a wide array of factors including but not limited to skill set, level of experience, and location.
