JOB OPPORTUNITY - MANAGER, EXECUTIVE OPERATIONS

Reports to: Executive Director

Location: Fort Edmonton Park including Hybrid work model

Hours: Full-time, permanent

About us:

The Fort Edmonton Foundation is an Edmonton charity founded in 1969 by Rotarians, business leaders, and passionate community members. Their goal was to preserve the history of Edmonton by rebuilding the original Fort Edmonton and creating a living history museum in the river valley.

Since that time, the Foundation has played a key role in building and expanding the Park to encompass the fur trade era, 1885 Street, 1905 Street, and 1920 Street. Most recently, the Park underwent a three-year enhancement project with funding from all levels of government and the Fort Edmonton Foundation. It reopened to the public in July of 2021 with the award-winning Indigenous Peoples Experience, new Front Entry Plaza and Guest Services Area, expanded 1920's-style Midway, and many other enhancements.

The Fort Edmonton Foundation celebrates Edmonton’s vivid, diverse history. We achieve this through building community philanthropic support for capital projects and other initiatives within Fort Edmonton Park.

Job Overview:

The Manager, Executive Operations is responsible for overseeing, organizing and coordinating office operations to ensure organizational effectiveness and efficiency. This position also has responsibilities to support the business/community development, events, donor relations and the marketing and communications needs for the organization.

Reporting to the Executive Director, the Manager, Executive Operations will have strong organizational communication (verbal and written) abilities, outstanding people skills, be able to manage a wide variety of tasks and be proficient in a variety of computer software including Google suite of programs, CRM’s and donor databases, Grant Software programs and have the ability to utilize research and analysis tools.

This position will support and assist the Executive Director in the overall management of the business operations, events, the marketing and communications initiatives for the Fort Edmonton Foundation according to the strategic direction set out by the Board of Directors and Executive Director.

GENERAL RESPONSIBILITIES:

Administrative and Financial Duties:

  • Oversees the administrative needs of the organization.
  • Assists in budget development and fiscal responsibility.
  • Oversees Donor/Partnership needs:
  • Monitor and report back to donors/partners on fulfillment of funds and impact reports.
  • Donor Management Integration and Fulfillment.
  • Contracts.
  • Invoicing and payments.
  • Ticketing.
  • Signage.
  • Other key deliverables.
  • Lead on all onboarding and enrollment process for new employees and Board of Directors.
  • Provides supervision of Administrative team, volunteerism suppliers, interns as required to achieve successful implementation of the fundraising strategy and events.
  • Completes all administrative AGLC Licenses and reporting including 50/50 and raffles.
  • Oversees Tax Receipting program, including receiving and recording all donor.
  • Perform accounting needs and coding of all financial aspects of the organization, events, donors, working closely with the Finance Manager.
  • Research and develop additional fund streams for the Foundation.
  • Manage the schedule of activities and meetings with the FEF office and Executive Director.

Marketing, Fundraising and Community Engagement:

  • Works with the team to plan and execute successful fundraising events including administrative reporting and fulfillment.
  • Conduct environmental scans as needed for events and campaigns.
  • Build relationships and networks within the community.
  • Research and manage potential funding opportunities and resources from community, government (all levels), and foundations.
  • Assist in the planning, development and implementation of all Foundation fundraising strategies, communications, and public relations activities, both external and internal.
  • Assists in the creations and management of marketing initiatives and materials for the Foundation’s fundraising campaigns and initiatives.
  • Assists in the development of a broader community and stakeholder engagement strategy.
  • Participates in a wide variety of donor/partner communications including social media and the organization's websites and all digital platforms.
  • Supports organizational marketing strategy to help build relationships with existing and potential donors, partners and influencers.
  • Lead and develop projects that are key to the success of the Foundation.
  • Attends committee, community stakeholder and board meetings as required.
  • Assist in the development, design, distribution, and maintenance of high-quality print and electronic collateral including annual report, newsletter, brochures, presentations etc.
  • Assists overseeing the website including managing the development and design, writing content.
  • Builds audiences, creates content strategy, develops appropriate messaging and coordinates design and photography.
  • Participate in all FEF events and community outreach activities.

Also includes other duties and projects as required.

CANDIDATE PROFILE:

The successful candidate will have the following:

  • University degree or college diploma in a related field with a focus in the area(s) of business administration, marketing, public relations or communications.
  • At least 5 to 7 years of experience in a related role.
  • Strong leadership and problem-solving skills.
  • Experience advising executive and other senior leaders.
  • Excellent relationship building skills.
  • Ability to prioritize and manage multiple projects in a fast paced environment.
  • Ability to work in a team environment with a positive attitude and an excellent sense of humor.
  • Demonstrate creativity, organizational skills and is eager to learn new things.
  • Financial management and administrative skills and abilities.
  • Experience with fundraising and charitable sector would be considered an asset.
  • Experience developing and implementing strategic communications would be an asset.
  • Superior writing, editing and storytelling skills with a keen eye for detail.
  • Demonstrated project management experience and ability to interact effectively and collaboratively with a diverse audience of stakeholders, donors, sponsors, volunteers, and partners.
  • Excellent communication skills (oral and written).
  • Ability to attend off-site events as needed, work occasional evening and weekend events and meeting as required.
  • Experience in CRM Software and in-design programs would be an asset.
  • Must be willing to provide a Police Information Check upon hiring.
