Job Summary: The Manager, Events and Filming, provides strategic and operational management pertaining to the safe and successful use of Vancouver Public Library facilities and assets for special events and the film industry, and for supporting the library’s event needs (including library programs, exhibits and events, and staff and partner meetings and space use). This includes leadership for the planning and production of large-scale events and filming, using a best-practices approach to plan for disruption and business continuity, and promoting and facilitating excellence in communication in keeping with the library’s customer service philosophy and values.

Reporting to the Director, Corporate Services & CFO, the incumbent provides leadership, oversight and direction to the team responsible for managing event coordination and filming for external rentals and large-scale programs for the library. Oversees the creation and communication of a weekly event production schedule for support services and other key stakeholders. The Manager acts as an expert resource for staff and management when seeking direction regarding large-scale events and film activities.

The Manager is responsible for the high quality of service provided to the event and film industries while ensuring compliance to numerous bylaws, policies and regulations. Utilizing excellent relationship management skills, the Manager is also responsible for maintaining a cooperative interface between rental clients, library work units, the public, and other stakeholders. The Manager is expected to be able to respond quickly and effectively when managing the unexpected, exercising critical thinking and sound judgement to come to decisions that are mutually beneficial for all parties, while protecting public safety and the library’s reputation.

The incumbent is a member of the management team at the library and participates in the creation and maintenance of a respectful and inclusive workplace, setting expectations for the conduct of staff that adhere to the library’s policies and procedures, and facilitates projects that advance the library’s strategic priorities in concert with other members of the exempt management team.

The incumbent will be required to work outside of ‘normal office hours’ (including partial weekends, statutory holidays, late evening and/or early morning work). An in-person response to events in progress is required on a frequent basis, requiring attendance typically within 30 minutes. A flexible and team-focused approach is required.

Job Requirements:

Education/Qualifications:

  • University degree or diploma in a related field such as event planning or an equivalent combination of education and experience.

Experience:

  • Five years recent relevant experience, particularly in the area of location management and/or event planning, including a minimum of three years of experience in a supervisory position; demonstrated leadership and managerial skills.
  • Experience in strategic planning, policy development, and human resource management, in a large multi-site organization strongly desired.
  • Strong understanding of risk assessment and mitigation, City of Vancouver bylaws, regulations and policies regarding use of public spaces.
  • Training or experience in project management and delivery, structured process improvement implementation and change management an asset.

  • Ability to effectively manage a wide variety of stakeholders and develop productive working relationships at all levels.
  • Strong commitment to serving clients; open, pragmatic and responsive to clients and community.
  • Ability to lead, motivate, train and mentor a large group of multi-disciplinary professionals and unionized staff.
  • Ability to exercise tact and discretion and work effectively within a team environment, including handling confidential and/or sensitive information.
  • Ability to make sound decisions and respond appropriately in stressful situations.
  • Ability to converse with, write reports for, and create/deliver presentations to all levels of colleagues and peer groups in ways that support problem solving and planning.
  • Exceptional time-management and organizational skills. Able to effectively and efficiently prioritize actions in response to numerous and diverse demands.
  • Proven ability to develop project schedules and manage milestones and ultimate delivery. Ability to manage multiple projects and priorities at the same time.
  • Expert ability in database use, plan review, and MS programs.
  • Expert understanding of and application of best practices, guidelines and policy related to film and event activity.
  • Understanding of general finance and budget management.

Affiliation: Exempt
Employment Type: Regular Full-Time
Salary: $84,489 to $105,602 annually
Work Schedule: Monday to Friday 8:30am – 5:00pm
