Your responsibilities will include managing client communications, coordinating transactions, preparing essential documents, and keeping timelines on track. Responsibilities
Key Responsibilities of a Licensed Real Estate Assistant
Client Relationship Management
- Build and nurture strong relationships with clients, ensuring a seamless and positive real estate experience.
- Respond to inquiries promptly and professionally, providing exceptional service at every stage of the transaction.
- Schedule and confirm property viewings, inspections, closings, and other key appointments.
- Ensure smooth communication between all stakeholders to maintain an efficient and organized process.
- Prepare, manage, and review contracts, agreements, and real estate documents with accuracy and compliance to Edmonton’s real estate regulations.
- Ensure all paperwork is properly filed, accessible, and up to date for seamless transactions.
- Maintain detailed records of transactions, communications, and client interactions.
- Track deadlines and ensure all necessary documents and disclosures are completed on time.
- Provide administrative support, including data entry, document management, and office coordination to keep operations running smoothly.
- Assist the team with daily tasks to maintain an organized and productive work environment.
- Assist in creating and managing marketing materials, including property descriptions, photos, and online listings.
- Ensure all property listings remain updated, accurate, and visible across relevant platforms.
Property Showings & Open House Coordination
- Organize and oversee property showings, open houses, and virtual tours to enhance client experience.
- Ensure all event logistics are handled efficiently, creating a seamless viewing process for buyers and sellers.
- Act as a liaison between clients, lenders, inspectors, and other real estate professionals.
- Ensure smooth communication and proactively resolve any issues that may arise.
- Monitor key deadlines throughout transactions, ensuring all tasks are completed in a timely manner.
- Work closely with all parties to facilitate on-time closings while adhering to industry standards.
Problem Solving & Issue Resolution
- Quickly identify and address potential challenges during the transaction process.
- Work collaboratively to find practical and efficient solutions, keeping deals on track.
Legal & Regulatory Compliance
- Ensure strict adherence to local, provincial, and federal real estate laws and regulations.
- Maintain the integrity of every transaction by ensuring full compliance and ethical conduct.
Professionalism & Ethical Standards
- Uphold the highest level of professionalism, discretion, and client confidentiality.
- Represent the Bagga Team and Royal LePage Magna with integrity, building long-term client trust.
Qualifications
Qualifications & Requirements
- Active Real Estate License – A valid Real Estate License in Edmonton, AB, Canada is required for this role to ensure compliance with industry regulations and the ability to perform real estate duties within the region.
- Relevant Experience – Prior experience in real estate, property management, client relations, or administrative support is preferred. Candidates with strong organizational and customer service backgrounds will also be highly considered.
- Strong Organizational & Multitasking Skills – This role requires the ability to efficiently manage multiple tasks, prioritize responsibilities, and coordinate schedules in a fast-paced environment. Time management and attention to detail are essential.
- Excellent Communication Skills – Strong verbal and written communication skills are crucial for interacting professionally with clients, team members, and industry partners. The ability to articulate information clearly and effectively will enhance client satisfaction and smooth transactions.
- Technology Proficiency – Familiarity with Microsoft Office Suite, MLS systems, CRM software (Follow Up Boss, Paragon), and real estate technology platforms is required. Candidates should be comfortable using digital tools for scheduling, reporting, and transaction management.
- Team Player & Self-Starter – While the role requires independence and self-motivation, collaboration within the team is equally important. The ideal candidate is a proactive professional who thrives in a supportive, high-energy environment.
- Attention to Detail & Accuracy – The ability to handle contracts, manage client communications, and maintain precise records with accuracy is essential. Every detail matters in real estate transactions, and a meticulous approach will ensure quality and compliance.
- Reliable Transportation & Flexibility – A dependable vehicle is necessary, as the role involves local travel within Edmonton and surrounding areas. The candidate must be flexible and willing to attend property showings, client meetings, and site visits as needed.
Compensation
$45,000 - $60,000 + commission
