This opportunity will provide legal secretarial support to one or more lawyers, maintaining a close and highly responsive relationship to the day-to-day activities of the Lawyer(s).

Main Responsibilities:

  1. Prepare standard legal documents through transcription of written or recorded documents, including correspondence, factums, motions, summonses, etc.
  2. Draft standard legal documents, correspondence, and pleadings for review by lawyer(s), editing grammar, punctuation, and spelling as needed.
  3. Exercise initiative and judgment in Lawyer’s absence, negotiating extensions of time and prioritizing diverse incoming communications.
  4. Provide client service to both internal and external clients.
  5. Manage Lawyer's calendar, scheduling appointments and coordinating appearances.
  6. Answer a variety of telephone inquiries based on knowledge of case, exercising good judgment and discretion.
  7. Respond to written or telephone inquiries with standard letters, composing and preparing routine inquiries.
  8. Establish, maintain, and when necessary, revise lawyer’s files.
  9. Assist in the development and maintenance of standard office precedents and procedures.
  10. Perform additional duties such as arranging medical exams, providing reception relief, maintaining lists of witnesses, subpoenas, fees, etc.
  11. Participate in arranging lawyer’s files for easy access during trials and inform witnesses of scheduled court appearances.
  12. Maintain Law Library and perform other miscellaneous duties as assigned.
  13. Adhere to appropriate ethics of the role and comply with company policies and methodologies.
  14. Ensure information is provided and shared with appropriate individuals in a timely fashion.
  15. Perform general administrative duties including photocopying, filing, and mail.
  16. Answer questions or provide guidance for less experienced legal assistants.

Qualifications:

  1. College diploma in legal secretarial and 3+ years of litigation experience.
  2. Ability to proof and edit legal documents.
  3. Motivated self-starter capable of working productively under pressure.
  4. Excellent oral and written communication skills.
  5. Strong interpersonal and client service skills, professional and positive demeanor.
  6. Superior organization and priority setting skills, strong work ethic, and ability to multi-task.
  7. Ability to be conceptual and possess creative problem-solving skills.
  8. Intermediate MS Office skills; knowledge of standard office equipment and word processing.
