Hybrid work schedule, 3 days per week in our Toronto office
Norton Rose Fulbright Canada LLP is currently seeking a legal assistant to provide exceptional support to established busy legal practices in our Business Law Group in the Toronto office. This position will play a key role in handling administrative items and requires a highly organized and professional individual with excellent client service skills and the ability to work in a challenging, fast-paced environment.
You will be focusing on:
- Maintain a list of action items for lawyers and follow up on status as required
- Help prepare presentation materials for various meetings
- Maintain and monitor Outlook calendars, including scheduling meetings locally and multi-office when required
- Coordinate business travel arrangements within North America and overseas and submission of expenses for timely reimbursement
- Manage incoming emails and correspondence
- Extensive electronic file management responsibilities
- Organize and maintain correspondence files for key matters as required
- Take a proactive approach to urgent matters by initiating the necessary action, particularly when the lawyers are travelling or away from the office at meetings
- Maintaining a reminder system
- Liaise with billing team for the monthly production of accounts
- Act as a liaison between lawyers and various internal and external clients at all levels
- Draft and revise correspondence
- Revise, format and edit agreements
- Provide back-up coverage in the absence of other assistants
- Handle incoming and outgoing mail, including courier requests
- Assist in document management during transactions (i.e., uploading documents to Closing Folders and preparing signature packages)
- Coordinate the file and matter opening process (Intapp, engagement letter and client identification form)
- Provide docketing support (Epoch)
- Post invoices to client file (Chrome River)
- Send out finalized invoices
- Review account receivable reports and following up with clients on outstanding accounts
- Submit expenses (Chrome River)
- Prepare trust forms
- Prepare audit letters
What you bring to the role:
- A minimum of 3 years of experience as a legal assistant in a law firm
- Legal administration and/or law clerk diploma preferred
- Highly organized, detail-oriented with the ability to remain calm in a fast-paced environment
- Strong attention to detail with the flexibility to accommodate work demands
- Ability to work independently and collaboratively within a team environment
- Demonstrates good judgment and utmost professionalism at all times and particularly when working under pressure
- Flexible and adaptable to change coupled with exceptional interpersonal skills
- Ability to maintain a high level of confidentiality and exercise discretion when necessary
- Excellent communication skills, both written and oral
- Ability to work 9:00 am to 5:00 pm
