LEGAL ADMINISTRATIVE ASSISTANT – CALGARY (CAT)

Reporting to the Vice President, Legal, General Counsel & Corporate Secretary, the Legal Administrative Assistant will be an instrumental member of the Legal Team and will assist the Team in all facets of their work. This position will also support the Chief Operating Officer.

Responsibilities:

  • Ensure that Trican’s core value, “We won’t put anyone in harm’s way” is the priority in all activities.
  • Prepare and proof-read agreements, correspondence, and basic documents from written or oral instruction as well as from legal precedents.
  • Organize hard copy and electronic files, manage the electronic file database, locate historical documents, and coordinate corporate filings, as well as manage Trican’s intellectual property (“IP”) portfolio (patents and trademarks).
  • Assist in Board and shareholder meeting materials preparation, including board and committee minutes, presentation decks, agendas, Information Circulars, Annual Information Forms (AIFs), and liaison with proxy solicitors, and coordination of any third-party service provider retained to assist with such meetings.
  • Obtain information and respond to queries from internal clients.
  • Assemble information and independently follow-up with internal clients as required on lawyer’s behalf.
  • Monitor and organize administrative functions to ensure completion of work within established time frames.
  • Maintain and update listing of contract and IP renewals and other pertinent details.
  • Coordinate travel, arrange meetings and organize other logistical items for internal meetings.
  • Provide administrative support to the Vice President, Legal, General Counsel & Corporate Secretary and enhance the legal team’s effectiveness.
  • Provide administrative support to the Chief Operating Officer.
  • Prepare expense statements.
  • Maintain and update the legal directory.

Experience & Skills:

  • Legal Administrative Assistant Certification, Administration Assistant Certification with relevant experience, or equivalent training and experience.
  • Excellent verbal and written communication skills.
  • Highly skilled in creating, formatting, and proof-reading legal documents.
  • Highly Proficient with Microsoft Office desktop applications and SharePoint.
  • Excellent interpersonal skills conveyed in a pleasant and professional manner when interacting with employees, management, and customers.
  • Ability to multi-task, prioritize and manage time sensitive documents/tasks to meet the Team’s strategic goals and deadlines.
  • Perform work accurately and thoroughly with a high attention to detail.
  • Must have the ability and the dedication to maintain the strictest confidentiality.
  • Ability to be organized and follow a systematic method of performing a task.

Working Conditions:

  • Regular office hours, Monday to Friday 8:00 am to 5:00 pm with occasional overtime.
