PROFILE

Responsible for a variety of administrative, technical and support functions for one or more individuals. This job receives some direction and guidance; most tasks and objectives are accomplished independently.

RESPONSIBILITIES

  • Organizes and expedites the flow of work through the incumbent’s assigned office including initiating follow-up actions as required.
  • Answers routine correspondence. Prepares and edits correspondence, reports, forms, presentations, etc.
  • Organizes and facilitates meetings and special events; schedules and coordinates dates and times, venues, attendance, agendas, and facilities; provides administrative support and follow up on matters arising from meetings or events.
  • Manages routine inquiries and liaises directly with clients/suppliers to obtain or relay specific information.
  • Maintains overall efficiency of incumbent’s assigned office through the development of accurate and comprehensive record keeping and retrieval systems.
  • Monitors and maintains specific electronic data as it relates to lists, addresses, intranet sites, etc.
  • Exercises initiative and judgment to relieve manager of administrative detail.
  • Any other duties required.

QUALIFICATIONS

  • Administrative Assistant or Legal Administrative Assistant Diploma coupled with a minimum of 3 years of legal administrative assistant experience.
  • Ability to communicate effectively with other Firm members, with the aptitude to take care of clients’ needs in a professional and courteous manner.
  • Capacity to work independently, as well as in a team environment.
  • Produce a high quality and quantity of work product, occasionally under tight timelines.
  • Able to prioritize and to redefine priorities when necessary.
  • Handle stress in a business-like manner.
  • Accuracy in grammar, spelling and punctuation.
  • Strong organizational skills.
  • Knowledge of Microsoft Office Suite.
