Role DescriptionReporting directly to the Senior Vice President, Leasing, Office & Industrial, the Leasing & Marketing Coordinator ideally has more than 3 years of leasing coordinator experience with emphasis on previous commercial landlord and/or brokerage real estate experiences. The role will be responsible for the administrative and marketing function of the Calgary leasing team.
ResponsibilitiesLeasing duties:
- Ensure accuracy and timeliness of property brochures including the ongoing review of availabilities to ensure portfolio information remains current.
- Process external and internal leasing fees, and following up internally to ensure fees are processed and paid in a timely manner.
- Ensure internal reportings are current.
- Track lease deal timelines and obtain pertinent information for leasing and asset management consideration on lease transactions (including but not limited to: pulling corporate searches, credit reports and tracking critical dates).
- Supporting the leasing team to process corporate expenses.
- Entering lease deals into Deal Manager, a Yardi platform for tracking and obtaining internal approvals for lease transactions and manage uploading of all deal related documentation.
- Provide the SVP, Leasing of monthly consolidated and property level leasing expense accounts.
- Updating stacking plans for the Calgary portfolio and distributing to the leasing and operations teams monthly.
- Aid ad hoc prospective tenant leasing tour requests.
- Assist, as required, in preparation of offers, waivers, RFPs and client presentations.
Annual Duties- Supporting the annual budget process – inputting budget corporate expenses and budget leasing assumptions into our budgeting platform – Yardi property management software.
Marketing Assignments- Update marketing brochures including periodic refinement to better market the office and industrial vacancies in the portfolio in accordance with brand guidelines, where applicable.
- Creation of digital walk-throughs and photos of current building vacancies and amenity spaces utilizing the Matterport camera and software.
- Support the Leasing team in planning open houses, annual golf tournaments, broker appreciation events and incentive trips.
- Updating property photo database for marketing purposes in accordance with corporate comms guidelines, where applicable.
- Working with internal and external teams to execute on-site property level marketing opportunities.
- Aid on ad hoc requests for marketing/brochure information in advance and during tenant property tours.
- Seek out ideas, processes, and new approaches to enhance the way we operate and market our office and industrial portfolios.
- Touring the portfolio regularly to ensure marketing materials are current and up to date.
Qualifications- Obtained a Bachelor of Commerce, or equivalent, with a concentration in Marketing is preferred.
- 3+ years of related leasing coordinator experience; with emphasis on previous commercial landlord and/or brokerage real estate experience.
- Relationship Skills – Superior oral and written communication skills; strong marketing knowledge and execution skills, ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality, displays enthusiasm and has a desire to learn; team player.
- Active RECA associate license (sectors commercial or PM) would be considered an asset.
- Organizational/Multi-Task Skills - Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, strong attention to detail and adapt to new ideas and constant changes.
- Decision Making Skills – Resourceful and thoughtful in decision making scenarios. Understanding of procedures and policies to achieve results and deliver on deadlines. Ability to solve problems and utilize basic analytical skills when required.
- Computer Skills - Advanced skills in Word, Excel, PowerPoint, Sharepoint, and MS Publisher. Working knowledge of Yardi, Workday, Matterport, Adobe InDesign would be considered an asset. Ability to manipulate and create templates in all programs.
