The Lease Administrator is responsible for overseeing all aspects of the lease agreement process, working closely with the Leasing Department within the Corporate Head Office of West Edmonton Mall.
Primary Responsibilities
Managing the preparation, review, and revisions of multiple rounds of negotiated letter agreements, leases, temporary leases, extensions, relocations, reconfigurations, assignments, storage leases, seizures, terminations, notices, estoppels, rent amendments, and other documentation from written and verbal instructions. Must be proficient using track-change and compare functions in Microsoft Word.
Preparing lease summaries.
Reviewing draft leases and ancillary documents prepared by the Leasing Department.
Assisting in the development and updating of standardized lease policies, procedures, and documents.
Drafting miscellaneous legal correspondence, as required.
Ensuring compliance with lease terms and advising relevant departments of outstanding conditions, deadlines, renovation obligations, exclusives, rights of first refusal, termination/relocation rights, and co-tenancy requirements.
Oversight of ongoing tenant insurance requirements.
Professional, timely communications with internal and external parties.
Providing various administrative support duties including drafting legal correspondence, scanning documents, and responding to internal and external support inquiries.
Working on a variety of unique initiatives and projects for West Edmonton Mall and assisting with various other administrative duties and responsibilities as required.
Desired Qualifications
2+ years of drafting and negotiating experience in the field of commercial/industrial/retail/office real estate.
Experience reporting directly to senior counsel or senior management.
High level of ownership, accountability, expertise, attentiveness, and initiative.
Ability to work independently and proactively.
Excellent oral and written communication skills.
Ability to develop and sustain strong co-operative working relationships.
Effective time management skills.
Attention to detail.
Excellent typing and computer skills including a strong working knowledge of MS Office programs Word, Excel, and Outlook, as well as the ability to adapt to other software programs as required.
Paralegal/Legal Assistant training or designation is an asset.
