Job Summary : The Human Resources Coordinator is a generalist role responsible for supporting the various functions of the HR department. The role will serve as a resource or subject matter expert to realize the day-to-day delivery of HR services to end users. The position will work in close collaboration with the Directors, Program Managers, staff and human resources team to coordinate, facilitate and implement human resources projects and programs including recruitment and onboarding, employee wellness initiatives, diversity & inclusion, learning & development, health & safety and more. This role will support Salus’ HR strategic objectives through growing our talent pipelines and enabling an exceptional employee experience.
Responsibilities :
The incumbent will have a broad knowledge of human resources and administrative functions. They must be able to work autonomously and efficiently to ensure end-to-end implementation of HR projects and initiatives. Areas of responsibility of this position include, but are not limited to the following :
Recruitment, Onboarding and Selection :
- Post external positions on relevant sites (ex. Indeed, Charity Village)
- Receive and process candidate applications
- Conduct phone-screening calls and distribute behavioural and cognitive assessments
- Collaborate with hiring managers to schedule and conduct interviews
- Assist candidates with technical issues and answer inquiries on the recruitment process
- Conduct reference check calls and background verifications as required for the position
- Prepare drafts offer letters for review, and transmit final letters to candidates
- Coordinate the onboarding and off-boarding processes, including setting up workflows and liaising with different teams to ensure a smooth process
- Conduct HR orientation sessions with new hires
Diversity, Inclusion and Equity :
- Serve as key facilitator for the Inclusion, Diversity, Equity and Access (IDEA) Committee
- Coordinate the implementation of Diversity and Inclusion programs and initiatives in conjunction with the other members of the IDEA committee such as :
- Diversity training for all staff
- Fostering the creation of inclusive spaces
- Providing staff and managers guidance on inclusive practices
Employee Relations, Engagement and Wellbeing :
- Respond to internal HR inquiries in a timely manner and redirect employees to the correct sources as appropriate
- Guiding employees through various human resource processes and policies
- Ensure a positive employee experience
- Support Employee Engagement initiatives
- Coordinate an annual employee wellness and engagement survey; analyze and report on the results for management action
- Facilitate the implementation and maintenance of Employee Wellness initiatives
- Facilitate disability claims and the return-to-work process by following up with employees, managers and carriers (Insurance, WSIB etc.) on documentations and ensuring proper records management
- Support employees and managers by providing guidance on the required documentation and legislative compliance
Health and Safety Support :
- Attend Joint Health and Safety Committee meetings and prepare meeting minutes
- Work in conjunction with the Human Resources team and JHSC to ensure the proper maintenance of health and safety databases
- Analyze and report key Health and Safety trends
- Work alongside the Human Resources team to ensure organizational compliance with extant health and safety regulations
- Implement WSIB's Health and Safety Excellence Program
- Health and safety policy development, implementation and change management
- Other related duties and initiatives as required
Learning and Development :
- Assist in organizing and coordinating training & development initiatives for new and existing staff
- Provide administrative support for the delivery of Learning and Development programs (Including generating reports, scheduling and implementing training programs etc.)
- Work with Managers to document and coordinate the development of training need analysis for their program areas
- Maintain training database (excel, HRIS etc.) to ensure employee training data is up to date
- Deploy post-training evaluation tools to analyze data for planning and quality improvements
- Serve as a superuser on learning and development tools and resources
Performance and Talent Management :
- Coordinate the performance review process for employees and track performance review completion status for designated program area
- Support in the design, development, tracking and monitoring key performance indicators and metrics for HR functions including key metrics related to staffing, performance, and talent management
- Support in the monitoring and reporting of talent development and Management initiatives including coaching, learning and development initiatives for staff and management outcomes from the of the performance review process
HR Project Administration and Coordination :
- Provide logistical support for various HR meetings, sessions, and initiatives
- Support Policy Review and Development
- Assist in the development and implementation of other related projects as they arise
- Act as a change management specialist on various HR projects
- Prepare reports and analyze HR metrics
General HR Functions :
- Maintain and update employee data in the HRIS
- Other related duties as assigned
Qualifications :
- Bachelor’s degree in Human Resource Management, Labour Relations, or related field.
- 1 -2 years of recent HR experience, or equivalent combination of education and experience.
- Ability to work in an organization providing services to vulnerable and marginalized individuals.
- Ability to work flexible hours.
Knowledge and Experience :
- Working knowledge of Ontario’s HR related legislation including the Employment Standards Act, Occupational Health and Safety Act, Human Rights Code, Workplace Safety and Insurance Act (WSIB) as well as applicable standards, legislations and procedures relating to the human resources profession.
- Advanced proficiency in Microsoft office suite. (Outlook, Word, Excel, PowerPoint, Visio)
- Strong administrative skills, knowledge of office procedures, and filing systems (electronic and paper).
- Outstanding verbal and written communication skills in English and French.
- Excellent technical Computer skills including a good understanding of HR technology (Recruitment and Applicant Tracking systems, Assessment tools etc.) and other applications to facilitate effective HR service delivery and reporting (including DocuSign, Adobe, Zoom etc.) is a strong asset.
- Familiarity with social media recruiting.
Suitability :
- CHRP designation (or working towards) is an asset.
- Strong interpersonal communication skills and the ability to establish a good working relationship with both internal and external stakeholders.
- Experience providing HR services in a unionized environment.
- Strong attention to detail.
- Ability to set priorities and work independently.
- Excellent problem-solving skills.
- Ability to work collaboratively, as part of a team.
- Strong organizational skills and the ability to work under time constraints and with frequent interruptions.
- Previous experience in a Healthcare and / or Non-profit setting is an asset.
