Job description

The Junior Project Accountant processes a high value of invoices monthly and has advanced skills in resolving unbilled charges. The Junior Project Accountant must have experience with processing and validating contract terms (Time & Material (T&M), Firm Fixed Price (FFP), and Cost Plus Fixed Fee (CPFF) invoices as well as retainers, prebills and project close-out bills. The role will include maintaining standard procedures and work instruction documentation, and this position is a crucial link between project technical and MEMS invoicing functions. Strong interpersonal skills and the ability to manage multiple priorities is required.

Key Responsibilities

  1. Perform administration of project invoicing, including complex billings for submissions to customers of various types of client contracts.
  2. Validate invoicing is accurate and complete. Review and verify data from all sources to ensure accuracy and compliance with client contracts and MEMS policies and procedures. Ensure all back-up has been gathered to support client invoicing.
  3. Apply project contractual obligations to work orders, rate schedules, and ensure that all the contract conditions (invoicing, reporting, change management, etc.) are applied and fulfilled for project set-up, project tracking, project reporting, and project close-out.
  4. Contribute to the development of project controls if required based on an understanding of project controls for cost management, project planning, and subcontractor management.
  5. Provide ongoing project status and analysis information to Project Managers and Project Services upon request, including a budget, schedule and deliverables.
  6. Identify opportunities to streamline invoicing within assigned client portfolios and troubleshoot issues.
  7. Analyze project financial data to provide enhanced project reporting and monitor project performance for a portfolio of projects.
  8. Investigate and resolve unbilled WIP (Work in Progress) issues.
  9. Manage WIP and AR (Accounts Receivable). Document follow up and status of escalating unresolved issues when required.
  10. Maintain project records (Purchase orders, contracts and change orders).
  11. Review and verify third party invoices, related to portfolio of projects.
  12. Upload and submit invoices to client billing systems (Enfos, Open Invoice, and Cortex).
  13. Close project accounts upon project completion within MEMS ERP and Client systems, and other duties as required.

What You Bring

  1. 1-3 years of experience in project accounting-type roles.
  2. Accounting or business diploma/degree from an accredited institution.
  3. Experience in the professional services or consulting industry is preferred.
  4. Previous experience working with Vantagepoint would be considered a strong asset.
  5. Valid, non-GDL Class 5 Drivers license.

Other Knowledge and Skills

  1. Effective skills with MS Office Suite.
  2. Experience with Deltek Vantagepoint, Siteview and Open Invoice would be considered an asset.
  3. A high degree of attention to detail and accuracy required.
  4. Strong communication skills, including the ability to demonstrate diplomacy, negotiate, conflict resolution, and people management skills.
  5. Excellent teamwork and team-building skills.
