Our client, a not for profit residential organization requires an Administrative Assistant to join them on a temporary basis.
Responsibilities:
Answers and directs phone calls and general office emails to the appropriate person; ensures member inquiries are addressed in a timely manner.
Greets visitors, including members, staff, contractors, and vendors, providing a positive and welcoming client experience.
Opens and closes the reception area and ensures it is kept tidy.
Distributes incoming mail and correspondence to appropriate individuals; date stamps mail and files member correspondence weekly.
Maintains organized, up-to-date filing systems for both paper and electronic documents, including member contact lists.
Keeps the bookkeeper informed of parking and locker changes.
Role requirements:
Previous experience in a receptionist, administrative, or front desk role
Strong verbal and written communication skills
Excellent customer service and interpersonal skills
Ability to manage multiple tasks and prioritize effectively
Proficient in Microsoft Office Suite (Word, Outlook, Excel) and general office technology
Strong organizational skills and attention to detail
Experience maintaining filing systems (electronic and paper)
Ability to handle confidential information with discretion
Comfortable working independently and as part of a team
Familiarity with housing co-ops or non-profit environments is an asset
