The opportunity :

The Import Payables Coordinator is responsible for managing the full cycle of payments to external business partners via wire transfers through the Online Banking for Business platform. They ensure the accuracy, timeliness, and compliance of payments related to merchandise and various expenses. Additionally, they are responsible for accurately entering payment-related data and overseeing associated functions throughout the payment cycle.

Key Responsibilities :

  • Process and prepare payments via wire transfer through Online Banking for Business, validating invoice details and generating payment cycles in PeopleSoft to select overdue invoices.
  • Compare the payment data submitted with the trial register, analyze payment cycles, and ensure their closure for monthly fiscal periods.
  • Investigate returned payments and verify shipping documentation for invoices from various sources.
  • Ensure proper transmission of electronic invoices into the internal system and approve vendor commission invoices before payment.
  • Enter liability invoices, credits, and debit notes into the internal system, and review the Partner Maintenance Form for accuracy and completeness.
  • Set up the bank template on Online Banking for Business upon receipt of the Partner Maintenance Form and approved documents.
  • Generate and distribute daily, weekly, and monthly reports to internal partners while maintaining constant communication to meet deadlines.

Qualifications :

  • University degree in Commerce, Business Administration, or a related field.
  • At least 1 year of experience in finance, accounting, or administration, preferably with a focus on payment management.
  • Strong proficiency in Microsoft Office, with hands-on experience in financial management systems such as PeopleSoft.
  • Proven ability to process and validate wire payments, and generate payment cycles within an ERP system.
  • Strong analytical skills to review payment data, resolve discrepancies, and ensure data accuracy in the internal system.
  • Fluency in both French and English to facilitate smooth communication with internal and external partners.
