The Position
The Human Resources Coordinator provides essential administrative support across various areas of Human Resources, including disability management, health and safety, labour relations, and HR projects. This role involves coordinating logistics, maintaining accurate records, and supporting HR initiatives to ensure efficient and compliant operations across all Company locations.
Key Responsibilities
- Assist the HR team in coordinating logistics and planning resources for various HR projects and initiatives.
- Ensure the timely submission and processing of all required documents related to disability claims, health and safety, and labour relations.
- Regularly update and maintain tracking sheets for disability management and OH&S, and ensure accurate record-keeping for compliance purposes.
- Monitor important dates on spreadsheets, send reminders, and update records as necessary to keep processes on track.
- Respond to routine inquiries regarding disability management, health and safety, and labour relations in a timely manner.
- Upload relevant forms, emails, and other documents into the Parklane system, ensuring proper filing under each employee’s record.
- Generate reports from the Parklane system as needed for management review or compliance purposes.
- Assist in developing and distributing safety reports, procedures, and safety talks to ensure compliance with workplace safety standards.
- Provide administrative support for labour relations activities, including preparing correspondence, tracking grievances, and maintaining collective agreement records.
- Lead or assist in the development and management of HR projects aimed at improving HR systems, programs, and practices. This includes conducting needs analysis, creating proposals, implementing projects, and providing status reports.
- Assist in the creation and provision of HR infrastructure, templates, and tools/resources to support the HR function at all Company locations.
- Conduct research and assist in gathering information to support HR-related activities as needed.
- Ensure thorough knowledge of company policies and procedures to ensure compliance and provide guidance where needed.
- Respond to inquiries and direct matters to the appropriate HR or management personnel.
- Take on additional responsibilities as required to meet the needs of the organization.
What You Bring
- Post-secondary diploma/degree in business or human resources management preferred
- Two years of progressively responsible experience and/or an equivalent combination of related education and experience
- CPHR designation an asset
- Ability to establish and maintain positive working relationships with colleagues and external contacts to meet operational and departmental objectives
- Ability to define and solve problems; collect data, establish facts and draw conclusions
- Strong computer skills including knowledge of word processing and data-based software and familiarity with publishing and presentation related programs and web browsers
- Ability to plan, organize, and effectively manage a considerable workload with multiple priorities and demands.
- Solid customer service skills
- Detail oriented, resourceful, and efficient in duties and responsibilities
- Ability to communicate effectively both verbally and in writing, with a diverse customer group
