Role Summary
We are seeking a dynamic Human Resources Coordinator to manage and optimize HR functions in a fast-paced environment. This role requires a proactive individual who can handle recruitment, employee relations, performance management, and compliance across both companies. This role is ideal for someone who is motivated and passionate to gain experience as a general human resources professional. The Human Resources Coordinator will report to the Human Resources Manager.
Duties & Responsibilities
Manage the full recruiting lifecycle across a variety of open roles in a fast-paced, manufacturing environment
Form relationships with internal management teams to know the ins and outs of their departments and better understand their hiring needs and job specifications
Develop and release job postings on platforms, such as social media and job boards
Create strategies to recruit quality talent: post-secondary partnerships; sustainability programs; government funding initiatives; training programs
Screen resumes and prospects, qualify, interview, and manage candidates throughout the interview process from contacting for interviews to assisting with final offer negotiation
Grow and foster high-touch relationships with a database of qualified active and passive talent to pull from as new positions open
Continuously partner with recruiting team and senior managers to design, refine, and implement innovative recruiting strategies
Support employee and managers as needed
Update and maintain the Human Resources (HR) Intranet (BambooHR), folders and other HR files as directed
Update and maintain compliance system, including assistance with policy reviews and annual attestations
Assisting with health and safety duties as required by public health and/or relevant legislation
Additional tasks as required
Required Qualifications
Minimum 3 years experience, employee facing, CHRL/CHRP is an asset
Manufacturing or start-up, clean-tech, experience supporting multiple entities preferred
Bachelor’s degree in human resources or related education and/or experience
Previous experience conducting various types of interviews (i.e., phone, video, etc.) is preferred
Familiarity with job boards, and other HR software, databases, and management systems
Demonstrated ability to deal with sensitive issues with tact, diplomacy, professionalism and compassion
Experience researching employee benefit and health and safety practices and recommend changes or modifications to existing policies
Solid understanding of the Ontario Employment Standards Act and current payroll legislation
Demonstrated ability to diagnose and solve problems and experience in streamlining and improving processes
Excellent customer service and interpersonal skills with ability to effectively communicate with all levels within the organization, understand user needs, and offer suggestions to address their requests and concerns
Exceptional communication, interpersonal, and decision-making skills
Ability to work in a fast-paced environment with multiple competing priorities, ability to thrive in an environment where every day is different than the last
Superior organizational skills with proven ability to manage various deliverables through to completion
Ability to self-manage a project or process and complete tasks with minimal supervision
Advanced MS Excel skills including pivot tables
Accuracy and attention to detail

Experience working with US and CAN manufacturing workforce is an asset

Facilitate the refinement, development and implementation of people focused programs, tools and resources

Maintain productive and collaborative relationships with key partners, and vendors, internal and external, to deliver on strategies that improve the employee experience
Analyze trends, research industry standards and make recommendations to improve employee experience and operational efficiencies
Recruitment
Deliver full recruitment services from sourcing and interviewing to employee offers
Manage the off-boarding process for both voluntary and involuntary terminations
Build and maintain a strong talent pipeline for current and future hiring needs across the organization
Generate candidate interest using a variety of methods (social media, Boolean search, job boards, career fairs, academic institutions, and employee referrals)
Build and maintain a solid understanding of our talent market and competitive activity
Network with potential candidates using tools such as LinkedIn/Indeed to build and nurture our environmental and engineering talent networks
Employee Relations
Provide advice and guidance on attendance and disability management, health and safety, human rights, and performance management, while ensuring compliance with applicable HR related legislation, for both Canada and the US
Provide coaching and resources to the HR team, employees, and managers with respect to company policies, career development, training, compensation, recruitment, performance management and employee relations programs
Support the development of solutions and recommend solutions for implementation
Generalist
Support investigations and assist managers in conflict management and other issues
Collaborate with cross-functional teams to ensure HR policies and procedures are followed
Ensure positive candidate experience throughout the recruitment process
Compensation
Research and prepare occupational classifications, job descriptions, salary scales and competency appraisal measures and systems
Update the annual merit and bonus project plan, prepare annual salary increase and bonus letters, complete salary surveys
Benefits And Administration
Assist as secondary plan administrator for benefits programs for Canadian and US entities including communication, open enrollment, enhancements, and renewals
HRIS (BambooHR)
Maintain HRIS system administration, data validation checks, documentation (configuration, training, administration guides, etc.)
Set up files to ensure that all processes are appropriately documented and secure
Support stakeholder meetings to solicit feedback, input, and expectations for possible future improvements
Conduct regular data audits and provide training and documentation to ensure data accuracy
Prepare employee communications that relate to changes in the system and processes enhancements
Manage HRIS lifecycle of all employees, including new hires, terminations, promotions, and changes
