Job description

Reporting to the HR Advisor, HRIS and Employee Services, the Human Resources Associate coordinates and executes all transactional employment changes within the Human Resources Department in coordination with the Senior Human Resources Associate. The Human Resources Associate responds efficiently and effectively to Human Resources enquiries, and demonstrates tact and diplomacy when dealing with complex, sensitive, and confidential information. Key responsibilities include ensuring all administrative processes related to employee onboarding and offboarding are executed within applicable deadlines in coordination with Payroll.

Under the direction of the HR Advisor Recruitment and Employee Services, the Human Resources Associate also supports recruitment and other related functions.

Duties & Responsibilities

  1. Following best practice, manages HR Service Desk tickets and takes appropriate action responding to complex situations within specified timeframes based on Human Resources and Payroll deadlines.
  2. Responsible for ensuring accurate HR full cycle employee onboarding and offboarding processes, including employee appointments, contractual changes, leave management, professional development, and recruitment.
  3. Provides guidance of tasks to Payroll Benefits Associates and is responsible for assigned technical projects.
  4. Responsible for crossover of duties with Payroll Benefits Associates, working in collaboration to ensure payroll submissions are executed.
  5. Develops employment appointments from Employment Appointment Requisitions analyzing, enquiring and determining complex multiple appointments.
  6. Ensures adherence to all relevant policies and procedures, collective agreements, and mandatory requirements regarding all aspects of employment contracts.
  7. Develops and analyzes reports for Committee and divisional requirements as assigned.
  8. Administration of leaves, contract amendments and corrections, ensuring adherence to collective agreements, policies and procedures.
  9. Under the direction of the HR Advisor Recruitment and Employee Services, supports the recruitment process by responding to external enquiries and providing accurate information to supervisors and candidates.
  10. Responsible for accurate entries in Colleague and applicable corresponding spreadsheets such as salary, benefits, status, union information, seniority and increments.
  11. Maintains HRIS database information, ensuring accurate data entry, and position control within Colleague.
  12. Responsible for clearly interpreting and appropriately communicating complex information and situations to internal and external audiences.
  13. Provides accurate, efficient and service-oriented responses to all requests for information from departments, unions, external agencies, applicants and others as appropriate.
  14. Responsible for maintaining all relevant filing systems within the guidelines of the Freedom of Information and Protection of Privacy Act.
  15. Other duties as assigned by the supervisor and HR Advisor Recruitment & Employee Services and HR Advisor Wellness & Culture.

Required Education & Experience

  1. Human Resource Management Diploma or Business Administration Diploma including courses in Human Resource Management.
  2. Minimum three to five years current related experience in Human Resources within a complex multi-union environment. Experience will include knowledge and expertise in the use of HRIS database systems, service desk technical application and payroll functions.
  3. An equivalent combination of education and experience may be considered.

Required Knowledge Skills & Abilities

  1. Advanced level of proficiency with MS Office including Word, Excel and Access and word processing skills of 60 wpm.
  2. Demonstrated knowledge of technical application in various platforms.
  3. Ability to perform data entry and maintain records with attention to detail and a high level of accuracy.
  4. Ability to demonstrate effective team behaviours such as active listening, sharing, team participation, and contributing to shared team goals.
  5. Ability to compile, analyze, and reconcile reports.
  6. Proven ability to identify, investigate and assess issues and utilize problem-solving, analytical and decision-making skills as necessary to provide efficient and effective HR services.
  7. Excellent interpersonal, oral and written communication and customer service skills, with the demonstrated ability to exercise tact, good judgment and diplomacy.
  8. Excellent organizational and priority management skills, to plan and prioritize all tasks and efficiently meet deadlines.
  9. Responsible for the standard and consistency of own work, with attention to detail and ongoing learning.
  10. Proven ability and willingness to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology.
  11. Proven ability to conscientiously handle sensitive and confidential information and documentation in a discreet and professional manner.
  12. Demonstrated and clearly evidenced experience of the use of a database.
