The department of Human Resources & Organizational Development is seeking to fill two (2) vacancies:

Responsibilities
Reporting to the Director of Service Excellence, the Human Resources Assistant ensures efficient and effective delivery of Human Resources Services, by providing key support to the Human Resources Advisors in recruitment and selection processes while ensuring compliance with other human resources processes, policies, procedures and collective agreements.
Recruitment and Selection:
- Assists with the preparation and coordination of recruitment documents including offers of employment, the new employee onboarding process and follow-up communications.
- Oversees and maintains incoming job applications and processing within the relevant recruitment file.
- Creates job postings on the University’s intranet as well as collaborating with external job posting platforms.
Record and Data Management:
- Maintains and tracks various HR processes, including but not limited to, employee transactions and recruitment/selection.
- Collaborates with the Human Resources Advisors, budget/payroll/finance regarding employee records, onboarding.
- Processes personnel forms and maintains personnel records to ensure timely and appropriate actions related to the onboarding and off-boarding processes.
- Maintains electronic records, filing systems, and personnel files, for unionized and non-unionized processes and employees.
- Prepares and analyzes Human Resources-related reports.
Administration:
- Prepares a variety of letters and other human resources correspondence and documentation.
- Updates and maintains Human Resources-related information on the University’s intranet.
- Provides support to Human Resources Advisors and other Human Resources team members as directed.
- Performs a wide variety of clerical, technical, administrative, and office support, including but not limited to, employment documentation, and client support.
- Performs other duties as assigned.
Qualifications:
- Post-secondary certificate or diploma in Human Resources, Business or a related field.
- One (1) to three (3) years related experience preferably in Human Resources.
- Interest in successfully completing the academic requirement for the Certified Human Resources Professional (CHRP) designation.
- Experience working in a post-secondary institution and/or in a unionized environment will be considered an asset.
- Knowledge of provincial legislation, best practices and employment standards in Ontario.
- Ability to handle sensitive matters with integrity and confidentiality.
- Excellent organizational skills to prioritize workload in a fast-paced environment with changing deadlines and the need to respond quickly to meet departmental/employee needs.
- Strong computer skills, with experience with Microsoft and Google suites, Zoom, tracking systems, and HRIS.
- Ability to work independently and take initiative, as well as perform effectively as a member of a team.
- Strong attention to detail.
- Exceptional customer service skills.
- Able to deal courteously and effectively with people at all levels.
- Strong communicator with ability to guide and educate in HR process and best practices.
- Critical thinking and sound judgment skills.
- Able to exercise tact and diplomacy and support people in a calm and effective manner in sensitive situations.
- Ability to work fluently (verbal and written) in both official languages, French and English, is required.
The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m. Monday through Friday during and including May to August, amounting to thirty-three and three-quarter (33.75) hours per week.
