POSITION SUMMARY:

The HR Coordinator supports the Manager of Human Resources and Operations by handling essential HR functions and maintaining accurate employee records (Primarily digital) throughout the employee lifecycle. Key responsibilities include recruitment assistance, conducting background checks, managing documentation/digital staff files, supporting employee engagement initiatives, and ensuring compliance with company policies. The HR Coordinator will use Bamboo HR to maintain digital records and leverage other HR technologies and tools to streamline processes. Additionally, this role will involve coordinating training, team building, and workplace engagement events that promote a positive and inclusive culture. The HR Coordinator may also provide support for various HR projects and initiatives as needed, using a range of software and technology platforms to enhance efficiency and effectiveness.

Position Type: Exempt

Wage Rate: $30-$33/hour (Wage rate will be determined based on experience)

Position Type: Temporary, Part-Time, FTE- 0.5/18.75 hours per week

Start Date: January 2025

KEY RESPONSIBILITIES:

  1. Recruitment
    • Oversee initial stages of the recruitment process by posting job openings, screening resumes against qualifying criteria, and conducting initial phone interviews to ensure alignment with role requirements.
    • Scheduling virtual/in-person interviews.
    • Notifying candidates through the recruitment cycle.
  2. Employee Records Management and Digital Documentation
    • Manage and maintain accurate employee records within Bamboo HR, ensuring all staff documentation is digitized and securely stored.
    • Conduct regular audits of digital files in Bamboo HR to ensure accuracy, accessibility, and compliance with company policies.
    • Create and update various HR forms, Service Delivery and other forms (Using Adobe Forms) as required by the FVCDC policy and procedures.
  3. Administrative Support and Compliance
    • Develop and maintain the HR Policy and Procedure manual.
    • Update FVCDC Policy and Procedures Manual regularly by incorporating newly developed and updated policies.
  4. Staff Engagement and Team-Building Initiatives
    • Assist Manager HR & Operations in coordinating staff engagement and team-building events such as holiday parties, all staff events, staff picnics etc.
  5. General HR Support and Special Projects
    • Assist with special HR projects as needed.
    • Carry time sensitive HR duties in absence of Manager HR & Operations.
    • Other duties as assigned by Manager HR & Operations.

QUALIFICATIONS:

  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • Minimum of 1-2 years of experience in an HR or administrative role.
  • Proficient in Microsoft Office Suite and experience with Bamboo HR or similar HRIS.
  • Strong technical aptitude. Familiar with using Microsoft Teams, project management platforms, document management, Adobe, Canva etc.
  • Strong organizational skills and attention to detail, with the ability to manage sensitive information with confidentiality.
  • Effective communication and interpersonal skills, with a collaborative and supportive approach.
  • Strong time management skills with ability to prioritize and complete multiple tasks and assignments, meet deadlines, and ensure high quality work in a fast-paced environment.
  • Demonstrated ability to plan and execute events.
