About Housing Squamish

The Squamish Community Housing Society (SCHS), also known as Housing Squamish, is a nonprofit organization created in 2021 with a mandate focused on delivering and managing below market housing in Squamish. With an ambitious five-year plan, a strong Board, and a dynamic team, we are achieving early success in bringing needed housing to our community. We collaborate with the District of Squamish, local non-profit housing and social service agencies, the Squamish First Nation, other orders of government, and the community at large to deliver on our mission.

Position Overview

Housing Squamish is growing! As we bring more homes under management and grow our portfolio, Housing Squamish is looking for a new Housing and Society Operations Coordinator to join our dynamic team. Reporting to the Directors of Housing and Society Operations, the Coordinator will manage a diverse portfolio of tasks related to tenanting, communications, society and property financials, property operations, and funder reporting. The Coordinator will also support with Committee, Board, and other key stakeholder meetings, including preparing agendas and reporting out minutes.

The successful candidate will have a positive, ‘can-do’ attitude, an aptitude with communications, basic financials and budgeting, and problem-solving, and comfort in a dynamic, start-up work environment.

Reports to: Manager of Housing Operations, Manager of Society Operations

Primary Responsibilities

The Coordinator will manage a diverse portfolio including the following tasks. Note that training and supervision will be provided, and other tasks may be assigned depending on the successful candidate’s goals and interests.

Tenanting and Housing Applications

Reporting to the Manager of Housing Operations, the Housing Coordinator coordinates the tenant application and selection process according to established criteria and processes. This includes:

  1. Communicating with applicants regarding the status of their applications, gathering application documents, and coordinating unit viewings
  2. Maintaining applicant information and applicant lists
  3. Conducting income and employment testing as required

Tenant Relations and Records

  1. Manage tenant records with support from Property Manager following record keeping policies and requirements.
  2. Assist the Manager of Housing Operations with tenant communications and relations and community engagement events
  3. Coordinate and implement District of Squamish Statutory Declaration reviews

Property Operations

  1. Assist the Manager of Housing Operations with operations, capital planning, and property maintenance including tracking maintenance records and other property contracts
  2. Assist with data management for reporting to BC Housing and other partners and funders.
  3. Track vacancies and advise the Property Manager of approved applicants, transfers etc.

Society Operations

  1. Assist with arranging Board and Committee meetings and compilation of meeting agenda packages.
  2. Work with the Manager of Society Operations and external bookkeeper to support with bookkeeping for society and property financials, including AP, AR, expenses, and compiling financial reports.
  3. Support communications, social media, and community engagement activities

Qualifications

  1. Post Secondary education in Business Administration, or similar field
  2. Minimum of 2 years’ experience in property management, nonprofit housing, tenant relations or similar.
  3. Or equivalent combination of education, training, and experience.

Job Skills

  1. Advanced level of computer skills, comfortable with Microsoft Office, including Word, Excel, Outlook and comfortable with learning new software
  2. Interest in and basic understanding of Housing Squamish’s mission, issues related to nonprofit housing, and the Residential Tenancy Act.
  3. Good understanding of the principles of bookkeeping and budgeting
  4. Demonstrated competency in written and verbal communication
  5. Excellent administrative and organizational skills
  6. Ability to use judgement, empathy, and tact to communicate and work with coworkers, tenants, partners, stakeholders, funders, and contractors.
  7. Ability to coordinate meetings and manage changing priorities and schedules.
  8. Enthusiasm and comfort working in a dynamic, start-up environment in a small team

This is a part-time position to start. We are offering an annual salary within the range of $62K-68K, pro-rated to 20 hrs./week commensurate with experience and with potential to grow into a full-time position.
