Job Description

Position Title: Guest Services Coordinator

The Guest Services Coordinator plays a vital role at The Sheldon. Typically the first point of contact for visitors, donors, clients, and ticket buyers, this position is key to maintaining The Sheldon’s reputation for outstanding customer service and a welcoming environment. This is a fantastic opportunity for anyone interested in how a non-profit, specifically an arts non-profit, operates.

The Guest Services Coordinator answers all incoming calls, greets visitors, and accepts deliveries at the welcome desk. On any given day, visitors may include hundreds of schoolchildren, professional musicians, an excited fan who wants to buy a ticket, or out-of-towners looking for the galleries and recommendations for nearby restaurants. This position is cross-trained in our box office and Educational Concert ticketing systems and acts as a backup for the Guest Services Manager. It also provides valuable administrative support to the Sheldon team.

The successful candidate will be consistent and reliable, have outstanding customer service skills, be collaborative, and be willing to adapt to The Sheldon’s needs on the fly.

ROLES AND RESPONSIBILITIES

Front Desk

  • Act as primary frontline representative for all phone calls and assist as much as possible with routine questions about ticket purchases, subscription purchases, rentals, Gallery hours and exhibits.
  • Receive visitors and direct them to appropriate location and/or staff member.
  • Receive, open and distribute mail to individual staff mailboxes.
  • Record checks/cash received into daily receipts log and distribute to staff via email; make copies of checks and distribute to appropriate staff member as requested.
  • Coordinate operation and maintenance of office machines, call for service, refill supplies (paper, etc.) in office machines.
  • Lock and unlock Emerson and Concert Hall doors Monday – Friday, 9 a.m. and 5 p.m.
  • Provide general administrative assistance to The Sheldon staff as needed with miscellaneous projects and tasks. Such projects might include stuffing envelopes, labeling, mailings, printing, Raisers Edge data entry, preparing Rental packets, etc.

Marketing and Communications Department

  • Become a proficient ticket seller and serve as on-site box office representative.
  • Act as backup for the Guest Services Manager and fulfill ticket requests when they are busy or unavailable.
  • Fill local events calendars with The Sheldon-presented concerts, Gallery functions, and other community events.
  • Work some night-of-show shifts at the box office (extra pay is provided for box office work outside the typical workday).

Education Department

  • Load educational concert information into the education ticketing site.
  • Generate and send invoices for group ticket sales and follow up with teachers.

REQUIREMENTS

  • Excellent customer service skills
  • Computer literacy and the ability to pick up new software systems
  • Strong inter-personal skills with the ability to communicate effectively with multiple personality types, sensitivities, and cultural backgrounds
  • Fluent in English
  • Ability to be proactive and positively contribute, actively participating in tasks as needed and anticipating future needs
  • Diplomacy and tact

TERMS OF EMPLOYMENT

  • 35-hour work week plus frequent nights and weekends.
  • Competitive benefits package includes health insurance, retirement match and paid time off.
  • This position is hourly – starting wage is $19.50 per hour.
