Job description

Gift Services is a unit of the Advancement Services department, responsible for ensuring the proper acceptance, recording, and receipting of all charitable donations to the University of Victoria, the University of Victoria Foundation and the University of Victoria US Foundation.

The Gift and Endowment Services Officer is responsible for the complete gift life cycle operation and acts as a Development liaison to the Finance Department, working with them to accept, deposit and reconcile gifts as well as providing them with timely gift reports and participating in regular audit reconciliation.

This position is responsible for processing and receipting of large, complex donations and pledges for the University and for its three foundations including donation corrections, payroll deductions, campus call issues, reconciliation reports, records management, and verification of PCI compliance.

This position works closely with the Donor Relations Agreement Officer to ensure that gifts and endowments are administered according to gift agreements and with the highest ethical standards.

This requires an intimate knowledge of UVic’s gift acceptance policies, endowment policies and student award policies as well as a deep understanding of the fundraising cycle. The position works independently and possesses exemplary diplomatic skills and serves as a coordinator between university policy, fundraisers and donors.

Minimum Requirements:

A undergraduate degree or college diploma in business, accounting, finance or related field is preferred for this position or equivalent combination of education plus a minimum 5 years of experience.

Knowledge, Skills, And Abilities Include:

  • Excellent knowledge of gift processing with a high degree of accuracy
  • Extensive knowledge of CRA and IRS charity rulings for gift acceptance, receipting and records management. These rulings are dynamic and require ongoing education
  • Understanding of gift acceptance policies, endowment policies and student award policies as well as a deep understanding of the fundraising cycle
  • Familiarity with and understanding the purpose of fundraising in higher education or non-profit settings
  • Excellent knowledge of RE NXT or other fundraising software
  • Solid knowledge of accounting and FAST
  • Strong mathematical and computational skills and the ability to audit or proof one’s own work to ensure accurate calculations
  • Demonstrated ability and desire to learn, apply and retain complex and detailed processes and procedures
  • Strong analytical and problem-solving skills with the ability to work and analyze large sets of data and produce reports
  • Knowledge of UVic's privacy policies and BC's FIPPA regulations that pertain to donors and alumni
  • Extensive knowledge of multiple aspects of fundraising such as types of gifts including but not limited to planned gifts, calling programs, and prospect management
  • Knowledge of Payment Card Industry (PCI)
  • Effective communication skills with a strong customer service orientation, and the ability to respond to donor calls and inquiries
  • Strong organizational skills with the ability to thrive in a fast-paced, cyclical environment while managing multiple priorities with strict deadlines
