Job Overview
As a leading independent animal welfare charity, the RSPCA Halifax, Huddersfield, and Bradford Branch has been at the heart of animal welfare in the West Yorkshire area for over 100 years. We have rehabilitated and rehomed thousands of animals and continue to make a significant impact in our community. As we embark on an exciting 5-year plan to redevelop our Animal Centre facilities, we are looking for a motivated and detail-oriented Fundraising Administrator.

As Fundraising Administrator, you will play a key role in providing high-quality and reliable administrative support to our fundraising team. You will help ensure that our supporters feel valued and appreciated, making a direct contribution to the success of our income generation efforts.

This role will involve supporting and organising help for fundraising events, managing donations from our supporters, and ensuring that every interaction with donors and benefactors reflects the professionalism and effectiveness of our charity. You will be an essential part of our fundraising operations, helping us to achieve our redevelopment goals and make a difference to local animals in need.

Duties

· Ensure all donors receive timely, personalised thank you messages (via email, letter, or phone), acknowledging their support and expressing gratitude.

· Maintain a system to track correspondence and ensure all donations are properly recognised.

· Coordinate supporter emails through Mailchimp, ensuring that content is relevant, timely, and engaging.

· Build and maintain mailing lists.

· Identify potential sponsors for fundraising events and contact them with sponsorship opportunities.

· Maintain clear and professional communication with sponsors, ensuring they receive all relevant event information and that their involvement is acknowledged and celebrated.

· Source and secure stall holders for fundraising activities, ensuring all logistical aspects are covered, including space allocation, equipment, and timing.

· Manage fundraising volunteer communications, ensuring they are briefed on upcoming events and activities.

· Maintain clear and consistent communication with volunteers - answering questions and providing updates as necessary.

· Source and secure promotional items and prizes for fundraising events and activities.

· Oversee the ordering, inventory, and distribution of fundraising merchandise, ensuring items are available when needed for events.

· Coordinate with suppliers to maintain stock levels and explore new product opportunities to boost fundraising efforts.

· Regularly update and maintain the fundraising sections of the website, ensuring all information is current and engaging for visitors.

· Support the Digital Lead by scheduling social media content and writing captions.

· Assist with digital fundraisers such as raffles and competitions and monitor payments.

· Attend fundraising events as required. Assist with the preparation, setup and event activities.

Qualifications

· Strong verbal and written communication skills are essential for dealing with donors, volunteers, sponsors, and event attendees.

· Ability to manage multiple tasks and coordinate between various parties (volunteers, sponsors, donors) while meeting deadlines.

· Previous Microsoft Office experience.

· Ensure that all tasks, from thank-you notes to event logistics, are handled accurately and professionally.

· Familiarity with tools like Mailchimp for email campaigns and website management tools for updating online content.

· Work effectively and efficiently with other team members, volunteers, and supporters.

This is an exciting time for our Animal Centre as we look to build a new future for local animals in need. As a member of our team, you’ll have the opportunity to make a lasting impact on the lives of countless animals, all while working in a supportive, collaborative environment.

We value diversity and welcome applications from individuals of all backgrounds. We seek to employ people based on their ability to carry out the requirements of the role and no applicant will receive less favourable treatment on the grounds of disability, gender, race, religion, or belief, age, sexual orientation, marital status, parental status or caring responsibilities.
