We are recruiting for an experienced Financial Systems Manager to join our growing Financial Systems team. This role can be based in our corporate head office - Toronto (Downtown). This is an on-site position.
Job Overview :
The Financial Systems Manager oversees the Financial Systems Team and supports the Directors in this team for developing business processes and procedures and documenting. The role will manage our core financial systems ranging from Microsoft Dynamics 365 Business Central and all the main subsystems, and oversee the training and documentation of both Finance and Non-Finance users throughout the company regarding our financial systems. Furthermore, the role will lead in project managing new initiatives for systems enhancements and partner with other cross-functional teams in the Finance and Accounting teams to scope out requirements.
Responsibilities and Duties :
- Manage and enhance key financial systems ranging from Microsoft Dynamics 365 Business Central and all the main subsystems connected such as the online Bank Reconciliation software, Certify Expense Reporting software, and the online Accounts Payable Automation software.
- Project manage new financial systems initiatives in understanding and visualizing the full impact in our entire company, end to end. Maintain appropriate records and documentation of meetings and actions to follow up for the next steps in scoping requirements and gathering of information.
- Project manage vendors, consultants, and internal stakeholders to deliver projects on time and within budget as part of systems and process enhancements. Maintain appropriate records and documentation of meetings and actions to follow up for the next steps.
- Document process and procedure flows through flowcharts and PowerPoint presentation materials of many finance and accounting functions by working closely with cross-functional teams to define the scope.
- Manage the Microsoft Dynamics 365 Business Central and Power BI systems for efficient usage, adapt the system to the growth of the organization as new practices are acquired by creating and maintaining new chart of accounts, new parameters, such as new legal entities, provinces, and practices for reporting.
- Manage Microsoft Dynamics 365 Business Central for operational accounting efficiency, such as developing standardized journal entry upload templates, develop key reporting data queries utilizing data tables and others working closely with the accounting team. Develop proper documentation, manuals, and training materials for Microsoft Dynamics 365 Business Central, to facilitate and encourage the sharing of knowledge transfer to other members of the accounting team.
- Work closely with the Financial Planning and Analysis team to build and maintain data exchange tables and templates for Budgets and Forecasts from Microsoft Dynamics 365 Business Central to integrate with the enhanced financial reporting comparisons for the Financial Planning and Analysis team.
- Oversee the Business Central systems data integration with the financial planning and budget software to main data consistency.
- Oversee the bank reconciliation software and continually analyze to improve the automation and matching process by fully reviewing the complexities and intricacies of the key dental practice management software, the integration to the interface software to the Bank Reconciliation software and to the RBC bank transaction data. Review to change the process and procedures at the dental practices to improve the bank reconciliation automation matching process.
- Oversee the month end system simulation and automation programs of routine and time-consuming processes and procedures of downloading and storing key bank statements and Visa statements in the respective shared folders. Automate the distribution of Visa statements to the card holders.
- Oversee the Financial Systems team in implementing and roll out of the Certify expense reporting software and the online Accounts Payable Automation software. Develop and maintain training manuals and train users to use the program. Continually maintain the entire program.
- Maintain data exchange tables and files for the integration and extrapolation of data from subsystems to create the mass upload process of monthly journal entries of revenue and cash bookings into Microsoft Dynamics 365 Business Central.
- Manage the stabilization of the Microsoft Dynamics 365 Business Central with system updates and enhancements. Oversee the testing and validation of new functionalities and system updates before deployment and document the testing processes.
- Maintain all systems documentation, user guides, and training materials.
- Monitor system access controls and ensure sensitive data is adequately protected.
- Research all potential technologies.
- Assist in special quarter end and year end accounting deliverables and projects.
- Others ad-hoc tasks and projects as requested.
Education, Credentials, Qualifications :
- Bachelor's degree required and CPA preferred but not mandatory as experience is more important.
- 7+ years of progressive relevant industry finance and accounting operations systems experience.
- Strong understanding of accounting processes, transactions, and reporting requirements.
- Strong understanding of business operations and how processes and procedures can become more efficient through the use of business systems and technologies.
- High level of proficiency in Microsoft Excel required, and understanding and developing Excel macros would be highly beneficial.
- Strong working knowledge of ERP systems such as Microsoft Dynamics 365 Business Central.

- Exposure to a rapidly growing transaction-oriented multi-site environment preferred.
- Strong interpersonal skills with an ability to adapt and interact at all levels throughout the organization.
- Strong verbal and written communication skills to collaborate at all levels throughout the organization and the ability to train both Finance and Non-Finance users effectively.
