We’re looking for a Finance Co-Ordinator to join MCAN’s Finance team. It is a contractual role and will require to be on-site 4 days/week.
Job Summary:Reporting to the Chief Financial Officer, the Finance Co-Ordinator will ensure efficient financial and administrative operations, regulatory compliance, and effective project coordination within the Finance department. This role supports the CFO and other Executives within the Finance team by handling sensitive information and facilitating various financial and administrative tasks.
Key Responsibilities:- Financial and Administrative Support:
- Provide financial, administrative, and clerical services to ensure effective, efficient, and accurate operations.
- Prepare documents and presentation materials, screen and respond to inquiries, draft letters, coordinate calendars, arrange meetings, and plan events.
- Handle sensitive matters and confidential information with discretion.
- Allocate supplies, screen investor relations emails, order office supplies, and assist in banking administration.
- Provide administrative support to the Finance team, CFO, and other Executives.
- Handle meeting scheduling, logistics, and catering for internal and external meetings.
- Manage off-site storage of Board and Finance materials.
- Format and upload materials to BoardVantage and compile Boardbooks.
- Open and scan mail for the Finance department and provide backup support to other Administrative Assistants.
- Prepare expense reports and schedule management meetings.
- Support to CFO:
- Assist in the preparation of presentations and ad hoc financial information.
- Coordinate and perform regulatory compliance tasks, including TSX and other regulatory filings.
- Update and communicate investor materials, including quarterly updates, investor presentations, AGM presentations, and investor meetings/roadshows.
- Coordinate meetings, including Board, regulatory, audit, and internal meetings.
- Prepare updates on share trading activity and short selling positions.
- Quarterly and Annual Duties:
- Proof quarterly reports, check figures, and prepare CEO and CFO certifications.
- Compile and submit compliance reports, calculate prices for various purposes, and prepare DRIP schedules.
- Draft correspondence for regulatory bodies and arrange audit request information.
- Submit quarterly SEDAR filings and send out quarterly reports.
- Prepare annual forms for SEDAR submission and assist with AGM coordination.
- Treasury and Term Deposit Duties:
- Administer CMHC forms for MBS and CMB issuances.
- Assist with line of credit administration and prepare maturity notices and forecasts.
- Update client addresses and prepare Age 71 Notices as requested.
- Project Coordination:
- Coordinate project meetings, circulate materials, maintain documents, take minutes, and follow up on action items.
- Update status dashboards and support the CFO and Finance department in managing and delivering change.
- Risk Management and Compliance:
- Assist in preparing company insurance coverage renewal forms.
- Upload policies, frameworks, and procedures to SharePoint.
- Maintain files on PSI safe or other formats.
- Support all employees in administrative matters.
- Corporate Governance and Disclosure:
- Ensure adherence to continuous disclosure requirements through press releases, website updates, SEDAR, and other regulatory filings.
- Deliver documents and Board materials to regulatory bodies in a timely manner.
- Support the Corporate Secretary in ensuring continuous disclosure compliance.
The work experience, skills, education that you bring:- Relevant degree in Finance, Accounting, or a related field
- Experience in financial administration and clerical services
- Proficiency in financial software and tools
- Strong knowledge of regulatory compliance and filings
- Ability to prepare and proof financial documents and reports
- Excellent organizational and time management skills
- Ability to handle sensitive and confidential information with discretion
- Strong communication and interpersonal skills
- Experience in coordinating projects and meetings
- Ability to take minutes, document action items, and follow up on tasks
- Knowledge of risk management and compliance processes
- Ability to assist in preparing insurance coverage forms and maintaining files
- Understanding of corporate governance and disclosure requirements
- Ability to support regulatory filings and document delivery
- Attention to detail and accuracy
- Proactive and able to work independently
- Strong problem-solving skills and ability to adapt to changing priorities.
