What You’ll Do:

The Finance Administrative Assistant is a key role that enables our Finance and Head Office Corporate Shared Services functions to achieve business success through performing an array of administrative duties, as outlined below. The successful individual in this role will be highly motivated, have strong attention to detail, and pride themselves on providing exceptional service to internal and external stakeholders. Superior organizational skills in addition to an ability to handle the workload in a friendly and professional manner are keys to success in this role.

Key Responsibilities:

  1. Support the CFO and CIO with proactive calendar management and meeting set-up.
  2. Assist the CFO and CIO with travel bookings and expense management in Concur.
  3. Coordinate items requiring CFO signature (DocuSign/Inked/Notary).
  4. Support the Finance Leadership Team as determined by the CFO.
  5. Serve as the primary contact for the company’s travel services provider, Egencia. Resolve internal inquiries and work with our Egencia representative to resolve issues as they arise.
  6. Maintain files for all property leases, including renewals, amendments, terminations, etc., and all equipment leases.
  7. Support the administration of federal, state, and local tax filings, business licenses, and other regulatory requirements, as directed by the Tax team.
  8. Support subsidiary corporate governance filings and reports, as directed by the CFO.
  9. Support quarterly reporting to the Audit Committee and Board of Directors, including meeting management with internal and external parties.
  10. Hold the corporate credit card, standardize and maintain the process for Finance-related payment requests, and track card usage.
  11. Organize Finance Team events and meetings.
  12. Act as the primary point of contact for P&C regarding Finance Team new hires.
  13. Oversee postage machine contract, log postage funds and consumable purchases.
  14. Prepare Finance letter/parcel mailings.

In addition, the Finance Administrative Assistant will have the following general office administration duties:

Cover Corporate Administrator core duties, including reception coverage, during breaks/sick days/vacation, as directed by the Executive Assistant.

In adherence to the principle of pay transparency, we are pleased to disclose the base pay for this full-time position at Metrie. The base pay range for this role is set at CAD $55,000.00−$60,000.00. It is important to note that this position may also qualify for discretionary bonuses or commission payments. The specific base pay within the range will be contingent upon an individual's skills, qualifications, experience, and geographical location. Furthermore, it is essential to highlight that our remuneration ranges are established based on the role, level, and location. Please note that the actual pay may vary and can be higher or lower than the posted range based on these factors.
