Job description

Capstan Hauling and LaPrairie Crane are looking for an energetic and outgoing individual to join their team in Grande Prairie, AB, as a full-time Facility Administrator. In this role, you will handle various administrative duties in support of the accounting, operations, and maintenance departments.

Capstan Hauling and LaPrairie Crane are members of LaPrairie Group of Companies, a family-owned group of construction companies that have been in business for over 40 years in Western Canada. Capstan Hauling offers heavy hauling, winch truck, and picker truck services to customers throughout the region and LaPrairie Crane provides crane and rigging services to customers in the oilfield, resource, and construction industries.

Roles and Responsibilities:

  • Reception Duties:
    • Present a positive and professional image.
    • Be the first point of contact for visitors.
    • Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, locations, or company. Take and send messages as required.
    • Receive, sort, and deliver incoming mail and packages.
    • Coordinate the shipment of domestic and international packages and mail using a variety of shipping services.
    • Order office supplies as directed.
    • Book hotels.
  • General Administrative Duties:
    • Facilitate Operations Purchase Order (PO) Requests for LaPrairie Crane and provide administrative assistance, as needed, with Capstan Hauling's Operations PO Requests.
    • Complete data entry using various accounting and administration software programs.
    • Assist with file and document management, including scanning, copying and posting materials on notice boards.
    • Maintain a high level of confidentiality in all interactions.
    • Other administration duties as requested.

Qualifications:

  • 2+ years of previous administration work experience and/or a Degree/Certification in Office Administration or Business.
  • Strong working knowledge of Microsoft Office Suite (Outlook, Word, Teams, and Excel).
  • Strong written and verbal communication skills.
  • Excellent telephone manners and strong interpersonal skills.
  • Excellent time-management and organization skills.
  • Accurate data entry and proof-reading skills.
  • Ability to deal with confidential information and sensitive inquiries in a discreet manner.
  • Ability to prioritize and adapt quickly to changing business needs.
  • Experience with business system programs or accounting programs is an asset.

This is an in-office role; remote working arrangements are not being offered.
