Position Description

Serco Canada Inc. operates all the DriveTest Centres across Ontario on behalf of the Ministry of Transportation. As a Facilities Coordinator, you will be based out of our Toronto area office and will assist in the facility management of our 56 Ontario DriveTest Centres and various travel points and temporary sites.

The Facilities Coordinator will assist in leading and delivering large client and contract-driven operational changes/assigned special projects and ensuring the successful delivery of the Driver Examination Services (DES) contract and Serco Canada Inc as a whole.

Primary Duties and Responsibilities:

Facilities Management:

  • Prepare construction cost estimates for leasehold improvements.
  • Responsible for overseeing the activities of contractors.
  • Provides direct oversight for technical, maintenance and building activities within the facilities budget to ensure compliance.
  • Supports the standard operating procedures for facilities maintenance.
  • Identify safety hazards within and incorporate the remediation of such hazards to ensure that staff and occupants work in a safe environment.
  • Implement, administer, and coordinate safety training programs.
  • Administration of invoices from vendors and contractors as required, including processing of all incoming utilities and renovation invoices.
  • Respond to and action corrective and preventative work orders, prioritize by urgency.

Operations:

  • Coordinates moves, organizes movers, and arranges for the relocation of furniture and equipment and for a variety of services such as power and communications.
  • Coordinates purchasing requirements as directed.
  • Manage the continuous improvement initiatives and operational efficiency gains.
  • Assists in the supervision of contractors and third parties as required.

Health & Safety:

  • Ensure that compliance of all laws and guidelines are met as they relate to the operation of the building's infrastructure. Responsible for alerting management of building discrepancies.
  • Ensures compliance with management responsibilities and participates in the establishment and implementation of processes to identify and eliminate or reduce risks to the safety of Support Office staff and the public.
  • Ensures that department staff are in compliance with the processes provided for their safety and encourages reporting of any hazards, impacts and risks of which they are aware.

Qualifications

Qualifications:

  • Understanding of property management function and commercial leasing.
  • Comprehensive knowledge of maintenance processes.
  • Knowledge of budget preparation and accrual techniques and the management of operating costs.
  • Understands aspects of project management, construction planning and execution.
  • Knowledge of building design and construction including architectural, electrical, structural and mechanical.
  • Critical thinking to identify problems, evaluate alternatives, and recommend effective solutions.

Skills / Experience:

  • Preferred two to five (2-5) years related experience in Facilities/real estate setting. An appropriate combination of education, training and experience may be considered.
  • Possession of a valid Ontario Driver’s license and vehicle.
  • Demonstrated verbal/written communication skills.
  • Proven record of excellent internal and external customer service.
  • Good written and verbal communication skills.
  • Ability to work effectively with a wide variety of individuals.
  • Experience in managing commercial property and accounts.
  • Experience performing regular inspection of facilities and equipment.
  • Proficient with computer applications such as Microsoft Word, Microsoft Excel, and PowerPoint.
