Gillship Navigation Inc. - Export Customer Service Representative – Vancouver, BC

We’re looking for an experienced Export Customer Service Representative who excels in a fast-paced environment and is committed to providing excellent service. If you have a strong background in managing export processes, solving problems, and building customer relationships, we want to hear from you.

In this role, you’ll handle customer inquiries, coordinate shipments, and ensure goods flow smoothly across international borders. Your attention to detail and problem-solving skills will be key to maintaining customer satisfaction and improving efficiency.

Founded in 1981 to provide consolidation services for both import and export cargo, we have expanded our global network to offer those services worldwide. With offices in Montreal, Vancouver, and Toronto, we are currently undergoing growth and the opportunities to expand your career at Gillship Navigation are limitless.

This is an in-office position. Monday – Friday 8:30am-5pm

Key Responsibilities:

  1. Manage Customer Inquiries: Respond promptly to customer queries regarding export shipments, product availability, pricing, and shipping timelines.
  2. Coordinate Shipments: Oversee the export process from start to finish, including booking, documentation, and liaising with freight forwarders, carriers, and customs brokers.
  3. Ensure Smooth Export Flow: Monitor the flow of goods across international borders, ensuring compliance with all regulations and facilitating timely deliveries.
  4. Solve Complex Issues: Proactively address any issues related to shipping, customs, or documentation, providing effective solutions to prevent delays or disruptions.
  5. Maintain Customer Relationships: Build and nurture long-term relationships with clients, offering exceptional service and addressing any concerns or special requests.
  6. Track and Update Shipment Status: Keep customers informed of shipment status, delays, or changes, and provide accurate tracking information.
  7. Document and Report: Prepare accurate export documentation, including invoices, packing lists, and certificates of origin, ensuring compliance with international shipping standards.
  8. Drive Operational Efficiency: Work closely with internal teams to identify process improvements, reduce costs, and streamline operations to improve customer satisfaction and business outcomes.

Core Qualities:

  1. 3-5 years of experience in export documentation is required.
  2. Proven experience managing high-volume supply chain logistics.
  3. Ability to work efficiently under pressure to meet tight deadlines.
  4. Strong team player, with a willingness to support colleagues as needed.
  5. Skilled at multitasking and maintaining organization in a fast-paced environment.
  6. Proficient in data entry, with a high level of accuracy.
  7. Exceptional customer service skills, with the ability to resolve issues quickly and effectively.
  8. Excellent communication skills, including the ability to deliver presentations via Teams or Zoom.
  9. Flexibility to work an early shift (5/6 a.m. start), Monday through Friday.
