Executive Director
The Alberta Fencing Association is looking for a strong, self-motivated leader to guide the day-to-day operations of the Organization. Hours are flexible and work can be performed remotely. Some evening and weekend hours will be required. Knowledge of the sport of fencing is considered an asset but not a necessity, though applicants must demonstrate a willingness to learn.
Responsibilities
- LEADERSHIP
- Facilitate, administer, organize, and assist the Board in setting goals for Alberta Fencing.
- Assist with implementation, particularly with regard to club, board, coaches, officials, and athlete development plans.
- Provide assistance to board members and committees on implementation of recommendations.
- Attend board and committee meetings.
- Attend and represent the interests of Alberta Fencing at Canada Fencing Federation meetings.
- PLANNING
- Work with the Board of Directors to develop short and long range planning opportunities, setting goals and objectives for the group.
- Oversee the planning, implementation, and evaluation of the organization’s programs and services.
- Monitor sport trends, internal and external, and prepare recommendations and/or reports to deal with such trends and updating plans as necessary.
- Assist the Board in the review, update and/or development of bylaws, policies, procedures, and any other governing documents.
- ADMINISTRATION
- Oversee the efficient and effective day-to-day operation of the organization.
- Assist the board in preparing meeting agendas and supporting materials.
- Maintain an active liaison with Alberta Sport, Government of Alberta, Coaches Association of Canada, Canada Fencing Federation, and other Provincial Sport Organizations.
- PUBLIC RELATIONS
- Actively promote the organization and the sport by sending relevant and timely information to the media.
- Oversee the organization’s website, newsletter, and media, ensuring available information is up to date.
- FINANCIAL
- Securing financial assistance from the provincial and federal governments.
- Keeping current with other grant programs as applicable.
- Work with the board to prepare a comprehensive budget.
- Ensure the board, through the finance committee, provides comprehensive, regular reports on the revenues and expenditure of the organization.
- Work with accounting agencies to ensure that financial statements are up to date and current.
- MEMBERSHIP
- Manage the registration of Affiliated Clubs, Member Athletes, Coaching Staff, Officials and General Members, including corroborating membership information with the Canadian Fencing Federation.
- Send registration packages out each September with all appropriate material and information on both Provincial and National registration.
- Maintain the registration database and update it throughout each competitive year.
- TECHNICAL COMMITTEES
- Support the operations of the technical committees as directed.
- Ensure yearly planning, including yearly budgets and projects, are completed.
- Assist with the coordination and scheduling of development activities including training camps, coach training, referee clinics, team building activities, and competitions.
- Assist the technical committees with strategic planning and program reviews.
- Ensure provincial results and photos are submitted for press releases, including Provincial Championships, local tournaments, and national competitions.
- Assist with updating technical packages.
- Monitor and share technical rule updates and resources.
- COACH TRAINING
- Be knowledgeable of NCCP requirements.
- Follow-up with clubs to ensure all training is complete as required including the online evaluation and Respect in Sport.
- Identify other professional development opportunities for coaches.
- REFEREE TRAINING
- Assist and support any referee training needs.
- Understand the referee training process.
- Identify other professional development opportunities for referees.
- OTHER
- As this is a unique position with in-depth industry knowledge required, candidates will be provided support and opportunities to learn the processes and policies that are part of the position.
- Where budget considerations permit, permission may be given to the executive director for training opportunities;
- Perform any pertinent duties as directed by the President and as reviewed annually.
Qualifications
- University degree preferred or equivalent in not-for-profit management, sport management, recreation, business, or a related field.
- General knowledge and experience in human resources, finance, and project management are preferred.
- Knowledge of Federal and Provincial legislation applicable to not-for-profit sports organizations is an asset.
- Respect in Sport Certified and completion of Making Ethical Decisions and Safe Sport (or completion upon commencement of employment).
- Google office suite or Google Workspace knowledge is an asset.
- Self-motivated with the ability to work independently.
Work Location: Edmonton or Remote
Term: 6 months at 37.5 hours per week with the option to extend the position further, pending board approval
Probationary Period: As per AFA policies, every new employee will undergo a 3-month probationary period, after which time they will be considered a permanent employee. An employee can be terminated at any time during the probationary period without notice. Prior to the conclusion of the probationary period, the employee will receive a probationary evaluation to assess his/her suitability to the position.
Annual Compensation: $40,000 to $60,000 including 14 calendar days vacation
