Reporting directly to the Senior Vice President, Distribution, as Executive Assistant, you will be responsible for :
- Manage incoming and outgoing communications.
- Manage the agenda and coordinate the overall activities of the Senior Vice President.
- Prepare drafts of administrative communications, revise and correct texts and presentations, in French and English.
- Organize meetings and events, both from a logistical and technical point of view.
- Perform the administrative management of the Senior Vice-President's office (invoices, contracts, expense reports, etc.).
- Plan business trips.
- Organize and ensure the filing of digital documents and produce various reports.
- Anticipate the needs of the Senior Vice President and develop tools to increase the efficiency of her office.
- Act as a contact person for all inquiries directed to the Office of the Senior Vice-President.
- Work and manage ad-hoc projects for the Senior Vice President and her distribution team.
- Work closely with the other assistants to coordinate certain tasks and manage certain common files.
Desired profile
- Diploma of Collegial Studies (DEC) in office automation techniques, business administration, or equivalent.
- Minimum of five (5) years of relevant experience in a senior assistant position, executive office management, or equivalent.
- Excellent interpersonal, collaboration, and communication skills.
- Strong organizational skills that reflect the ability to carry out and prioritize several tasks in a harmonious manner with excellent attention to detail.
- Structure, organization, and ability to deal with very tight deadlines and multiple conflicting priorities.
- Advanced language skills in French and English, both oral and written due to daily interactions with English and French-speaking employees throughout Canada.
- Be extremely organized, proactive, and thorough, and be able to anticipate needs/challenges and respond accordingly even in situations of ambiguity.
- Team player and ingenuity with the ability to be extremely effective independently.
- Proven ability to adapt to a variety of competing demands and demonstrate the highest level of customer service and response.
- Demonstrated ability to meet high-performance objectives and deadlines in a fast-paced environment.
- Forward-looking thinking and ability to seize opportunities and propose solutions.
- Strong skills in Microsoft Suite programs (Word, Excel, Outlook, PowerPoint), social media tools, and willingness to learn new technologies.
