Job Description:

NVIT anticipates a need for one full-time, ongoing exempt position of Executive Assistant to the Dean of Trades at the Merritt Campus and invites applications from qualified candidates. This position is expected to start as soon as a suitable candidate is available.

Job Summary:

The Executive Assistant to the Dean of Trades will be responsible for reporting to the Dean of Trades as well as providing ongoing support to the Trades Department and the Health Department. This position offers a unique chance to help shape our trades and Health programs, foster industry partnerships, and contribute to the growth and success of our institution’s programming. The Executive Assistant must be extremely organized and capable of working without direct supervision. The Executive Assistant will develop and maintain effective relationships with members of the institute administration, the community, faculty and staff, and representatives of other institutions, organizations, and stakeholders. Duties will include providing support to the Dean of Trades, Health and Trades department in preparing and reviewing various programming materials; assisting campus Student Support; assisting with the process of educational planning; liaising with faculty regarding instructional program delivery; and ensuring the confidentiality of NVIT matters. The Executive Assistant to the Dean of Trades will work closely with other NVIT Executive Assistants to provide support across the Institute as needed. Additional duties may be assigned.

Specific Job Responsibilities include:

  • Provide comprehensive administrative support to the Dean of Trades, including accounts payable management, travel coordination, calendar oversight, and operational support to ensure the seamless and efficient functioning of the Trades and Health Departments.
  • Schedule and organize departmental and external collaborative meetings.
  • Assist with program coordination tasks and faculty support within the departments.
  • Collaboration & Communication with external program recognition and accrediting bodies.
  • Coordinate meetings and collaborations with key stakeholders, Indigenous communities, and other external partners.
  • Assist with preparation and submission of numerous forms and documents for external program recognition and accrediting bodies.
  • Maintain program accreditation responsibilities for website management (TTBC, BCCNM, BC Care Aide Registry, HSPnet).
  • Liaise with Community Education to ensure smooth delivery of programs in off-campus settings.

Requirements/Qualifications:

  • Relevant Bachelor’s degree, or a combination of relevant education and professional experience, with at least three years’ confidential administrative support experience indicative of progressive responsibility and problem-solving.
  • Demonstrated leadership experience in a trades-related education or training environment.
  • Broad knowledge and experience in various trades disciplines, such as construction, electrical, plumbing, and culinary. Awareness of current industry trends, technologies, and workforce needs.
  • Exceptional interpersonal, networking, and decision-making skills with the ability to foster good stakeholder and team relationships.

  • Advanced skills using the Microsoft Office suite of applications (Word, Outlook, Excel, and PowerPoint).
  • Excellent verbal and written communication skills to effectively engage with faculty, staff, students, industry partners, and other stakeholders.
  • Experience with NVIT systems management to support faculty and students (e.g., Colleague).
  • Able to prioritize in a busy, complex work environment.
  • Preference will be given to Indigenous applicants.
