The Executive Assistant is responsible for developing, implementing, and maintaining a detailed calendar for the CEO in a fast-paced environment. The EA is also responsible for reviewing and actioning CEO emails and materials for meetings, conferences, speaking invites, and high-priority items; working with the Office of the CEO team to ensure the CEO is adequately prepared for his day and week; greeting guests, building rapport, and maintaining effective office systems/clerical processes with proper naming within proper directories. This position would monitor office resource utilization and order supplies and equipment on behalf of the office; develop and maintain a vacation approval and tracking system for the Office of the CEO and Senior Leadership Team; track and document all Covenant Health and Catholic Health of Alberta expenses that are reimbursed from a third party; track and report the CEO’s volunteer hours with Catholic Social Services; develop, implement, and execute team-building activities for the Office of the CEO Team, including the Strategic Project Management Office and Legal/Risk Management portfolios as necessary; lead Executive Assistant monthly meetings to keep all Executive Assistants apprised of ongoing activities and initiatives; and perform other duties as assigned. The ideal candidate is great at leveraging their administrative, financial acumen, stakeholder engagement, organizational, time management, and communication skills to deliver quality work that moves the team and Office forward. Occasional travel and weekend hours may be required. This is a non-unionized position and will be required to work in the office with a start time of 8 AM.
Completion of post-secondary diploma in office administration or related fields; 5-8 years of progressively responsible administrative support experience in an executive/senior leadership level environment; equivalencies in a combination of other educational background and extensive work experience within a high-level, fast-paced environment may be considered. Demonstrated understanding and commitment to Covenant’s Mission, Vision, and Values; and a commitment to sound professional ethics, tact, and high work standards.
Additional Required Qualifications:Must be flexible and able to determine and manage multiple competing priorities due to a wide variety of responsibilities; demonstrated ability to promote teamwork, collaboration, and partnership; must be an ardent learner and be able to use a variety of computer applications including MS Office Suite; must be extremely accurate and detail-oriented; ability to complete duties and maintain focus in an environment of constant interruptions; ability to coordinate and organize events and special projects; excellent communication skills (verbal and written), including proficiency in formatting, grammar, and spelling; demonstrated ability to maintain confidentiality in handling sensitive information; ability to work independently with minimal direction/supervision.
Preferred Qualifications:Working knowledge of Microsoft Teams, SharePoint, Markview/Oracle programs.
