About the Opportunity

Reporting to the Executive Directors Health Services, the Executive Assistant provides confidential and comprehensive, executive-level support to the Zone Executive Directors. This includes responsibility and accountability for the overall effective management and coordination of the Office of the Zone Executive Directors.

Requiring a strong level of independence and demonstrating advanced communication, relationship building, organizational and critical thinking skills, the Executive Assistant enables and supports administrative aspects of zone operations with a proactive approach supporting the Zone Executive Directors to focus on strategic priorities and achievement of goals and objectives. The Executive Assistant contributes and supports leadership to the administrative assistants within the zone in terms of all administrative activities.

This position will support 2 Executive Directors in Central Zone.

Key Responsibilities

  1. Serve as the primary contact and liaison for executive leadership, facilitating communication and collaboration with internal and external stakeholders.
  2. Manage calendars, coordinate meetings, and organize travel arrangements while ensuring preparedness and adherence to timelines.
  3. Handle sensitive and confidential information with discretion, maintaining the highest level of professionalism.
  4. Research, draft, and proofread communications and documents on behalf of leadership.
  5. Utilize advanced office and meeting technologies to streamline processes and enhance efficiency.
  6. Track and coordinate projects, ensuring milestones and deliverables are met.

About You

We would love to hear from you if you have the following:

  1. Post-Secondary diploma in a recognized office administration, business administration or secretarial program; Undergraduate degree in a related field is considered an asset.
  2. 5-7 years of progressively responsible experience, providing executive level support and office coordination and management, preferably within an integrated service model provided throughout several locations with multiple partners and stakeholders.
  3. Experience within healthcare and familiarity with Central Zone operations preferred.
  4. International Association of Administrative Professionals (IAAP) certification is an asset.
  5. Exceptional organizational, leadership, and decision-making skills.
  6. Advanced written and verbal communication abilities, with experience adapting messages for diverse audiences.
  7. Proven ability to work independently, prioritize tasks, and manage competing demands under tight deadlines.
  8. Strong interpersonal skills to foster and maintain collaborative relationships.
  9. Proficiency with modern office technologies.
  10. Competencies in other languages an asset, French preferred.

Compensation and Benefits

$26.9196 - 33.6494 Hourly
