Job Summary

We are seeking a highly organized and strategic Executive Assistant to the CEO & Founder who will play a crucial role in optimizing executive operations and elevating the CEO’s brand presence. Working an average of 30 hours per week, this role goes beyond traditional administrative support—it involves strategic PR management, executive communications, and brand-building efforts that align with Hillberg & Berk’s mission.

Key Responsibilities

Executive Support

  1. Manage and coordinate the CEO’s calendar, meetings, travel, and appointments.
  2. Prepare reports, presentations, and correspondence on behalf of the CEO.
  3. Act as the primary liaison between the CEO and internal/external stakeholders.
  4. Handle confidential communications with discretion and professionalism.
  5. Oversee special projects and initiatives that support the CEO’s strategic vision.
  6. Attend key meetings, take notes, and ensure follow-ups on action items.

Public Relations & Brand Management

  1. Identify and coordinate PR opportunities such as speaking engagements, interviews, media features, and industry panels for the CEO.
  2. Work closely with internal and external PR teams to craft and maintain the CEO’s professional and personal brand narrative.
  3. Draft press releases, statements, and social media content as needed.
  4. Enhance and manage the CEO’s social media presence and engagement, aligning with the Hillberg & Berk brand.
  5. Build and nurture relationships with media contacts and industry influencers to boost visibility.
  6. Assist in the planning and execution of high-profile events and media appearances.

Qualifications & Experience

  1. Bachelor’s degree in Business Administration, Communications, Public Relations, or a related field.
  2. Proven experience as an Executive Assistant, preferably supporting C-suite executives.
  3. Strong organizational, communication, and problem-solving skills.
  4. High level of discretion and professionalism in handling confidential information.
  5. Proficiency in Microsoft Office Suite, AI tools, and project management platforms.
  6. Ability to work independently in a fast-paced environment, manage multiple priorities, and adapt to changing demands.
  7. The ideal candidate is based in Victoria or surrounding area with the ability to work on site in Victoria 1-2 days per week.
  8. Flexible availability to support role needs and ability to travel as needed.
