The Executive Assistant is a self-starter, proactive, results-oriented individual with excellent organizational and communication skills who will provide high-level support to the Head of Human Resources Executive for The FGF Group. The individual must be highly skilled at understanding and handling shifting priorities with proven experience in Project Management.

Primary Responsibilities
Manages calendar and schedules meetings, (external and internal), often collaborating with other senior leaders within the organization and multiple business units
Organizes set-up for internal and external meetings and ensures all details are managed
Prepares correspondence, action plans, agendas etc., on behalf of Senior leader
Collaborate with Senior Leaders in Talent & Development to drive initiatives forward
Assists/prepare and research information for Leadership presentations (i.e., Town Halls…etc)
Supporting Annual Strategic Planning for Talent & Development, North America
Involvement as needed/requested on key Talent & Development Programs with a focus on continuous improvement
Review & Reconcile invoices as required
Maintain databases/files (electronic & hard copies) to keep current documentation (i.e., agreements, NDA’s, audits)
Books reservations, travel and appointments as required
Provide leadership to the Talent & Development Administrative Assistant
Other miscellaneous duties as required
Required Experience
8+ years related executive administrative experience
Advanced knowledge of MS Office (Outlook, Word, Excel, PowerPoint)
Exceptional organizational skills; ability to multi-task
Ability to influence all levels within an organization
Professional
Excellent time management skills and the ability to prioritize tasks
Ability to comprehend and interpret instructions, short correspondence, and ask clarifying questions to ensure understanding
Able to establish credibility and trust with internal Team Members & Leaders
Able and willing to do hands-on work as required
Ability to work under pressure and meet short deadlines with a calm manner in a fast-paced environment
Familiarity in an environment requiring absolute discretion and mature judgment
