Endeavor Trust Corporation is a fast-growing provincially regulated financial institution located in downtown Vancouver. We play a key role in the Canadian securities market through participation in the company's initial public offerings, financings, mergers and acquisitions, and other corporate actions. We are looking for an Executive Assistant / Corporate Secretary / Paralegal to join our team.
The position is an On-Site full-time position. This is NOT a remote working opportunity.
The successful candidate will possess strong experience with managing corporate minute books, taking and preparing meeting minutes, scheduling board and committee meetings, general filing, scheduling, working in a fast-paced environment, and a willingness to take on other tasks to assist in team projects.
Requirements:
- Must be able to maintain a positive attitude and positive workplace environment.
- Experience working as an Executive Assistant.
- Experience in a legal environment is an asset.
- Experience managing corporate minute books.
- Experience taking and preparing meeting minutes.
- In-depth understanding of the entire MS Office suite.
- Ability to organize and prioritize daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communication skills.
Responsibilities:
- Reporting directly to the CEO.
- Scheduling board and committee meetings.
- Working with the Board of Directors and Committee members.
- Preparing reports, memos, letters, and other documents as they arise.
- Filing and retrieving corporate records, documents, and reports.
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
- Preparing for meetings.
- Accurately recording minutes from meetings.
- Greeting visitors and deciding if they should be able to meet with executives.
- Using various software, including word processing, spreadsheets, databases, and presentation software.
- Reading and analyzing incoming memos and submissions, and distributing them as needed.
- Making travel arrangements for executives.
- Opening, sorting, and distributing incoming faxes, emails, and other correspondence.
- Providing general administrative support.
- Assisting in all areas of the company operations.
The position is NOT an entry-level position and direct experience is required.
