Overview

The Ktunaxa Nation Council has an opportunity for an Executive Assistant in Cranbrook BC. Reporting to the Core and Finance Directors, the opportunity is suited for someone who is highly organized and efficient, enjoys coordinating meetings and events, an effective communicator, and can anticipate management and sector needs proactively.

This is a full-time permanent position with full benefits.

Responsibilities

The Executive Assistant position provides the Core and Finance Directors with direct administrative, clerical and operational support for a variety of initiatives and projects. The position supports and guides the flow of information between the Directors, Sector & Department staff, Ktunaxa communities and citizens, and the internal and external constituents.

The position of Executive Assistant exists to help support the Departments’ strategies, goals and objectives. A large focus for this role is on meeting and project support with an emphasis on accurately taking and transcribing minutes, record and file management, and all relevant events are organized and supported.

The Executive Assistant position is dynamic and fast-paced, requires familiarity with the Departments’ work processes, and has a special emphasis on communication standards with Ktunaxa citizens and communities. In addition, this position is a member of the Operations Team, which contributes directly to the effective and efficient functioning of the KNC as a whole and contributes to positive outcomes.

Qualifications

Academic Preparation
  • Post Secondary Certificate or Diploma in Business Administration or Office Administration
  • Comparable education in a related field considered
Experience
  • 2-3 years minimum of experience
  • 2 to 3 years minimum experience in Accounts Payable
  • Excellent written and oral communication skills, proficiency in high-level business correspondence; extensive vocabulary
  • Excellent software skills including Microsoft Office Suite, as well as Internet research abilities
  • Highly proficient in taking and transcribing meeting minutes
  • Ability to manage multiple tasks simultaneously with accuracy and consistency
  • An eye for detail, an ability to use standard proofreading marks, and excellent knowledge of grammar and style.
  • Knowledge of and experience in working within protocols and procedures
  • Event organizing and/or project coordination skills which includes tracking and monitoring tasks
  • Capacity to prioritize and manage a number of competing initiatives and timelines
  • Follow up, track and monitor various projects and tasks to ensure smooth flow
  • Pleasant, professional and efficient telephone skills
  • Experience working with a variety of committees and boards
  • Respect for and knowledge of Ktunaxa and aboriginal rights, culture, history and goals
  • Ability to anticipate reactions and negotiate workable outcomes
  • Pleasant, professional and efficient customer service skills
  • Records Management - Strong information management skills
  • Advanced Business English
  • Keyboarding skills – minimum 60 to 70 wpm
  • General knowledge of Bookkeeping
  • Commitment to life-long learning
  • Ability to build and maintain strong, effective professional relationships in a results-oriented environment
  • Strong written and oral communication skills, including listening
  • Familiarity with and commitment to maintaining and supporting effective information management procedures and standards
  • Strong organizational and project coordination skills
Expertise

  • Results-oriented - can meet all timelines and get results using available resources
  • PC programs including MS Word, Excel, Power Point etc.

Work Experience

  • 2-3 years minimum of experience
  • 2 to 3 years minimum experience in Accounts Payable

This is an in-person position working primarily from the Cranbrook office.
