Program: Central Administration

Position: Executive Assistant & Board Liaison

Duration: Full-Time, Contract for 12 Months

As a key member of our Central Administration Team, the Executive Assistant & Board Liaison provides high-level comprehensive administrative support with the highest level of professionalism, confidentiality and discretion. The purpose of the position is to support the CEO and Board in modeling the mission, vision and core values along with aligning strategic direction in all business interactions. The position provides important, complex and sensitive administrative assignments that support executing governance and operations.

Primary Responsibilities:

  • Provide administration to the CEO and Board in scheduling and coordinating activities including:
  • Collecting agenda items, preparing agendas from previous minutes, obtaining consensus of agenda items, coordinating attendees, booking facilities, rooms, and online session platforms, obtaining RSVPs to determine quorum, and updating the CEO and Board on meeting agendas, reports, and attendee listings.
  • Distribute all Board and Board committee meeting reminders, reports, action logs, follow-ups, special mailings, and other necessary documents that ensure effective communication.
  • Maintain calendar accuracy and confidentiality for self and CEO, reorganizing for conflicts and urgent requests for availability. Create and maintain the Board of Directors and Board committees’ annual meeting calendars.
  • Provide administrative and coordination support to the Central Administration team and Management as requested or assigned by the CEO.

Qualifications:

  • Post-secondary education in Business Administration, Business or Executive Assistant, or equivalent work experience.
  • Minimum of 3-5 years of experience as an Executive Assistant or relevant office administrative experience.
  • Minimum of 3-5 years of experience with a Not-for-Profit Volunteer Governance Board supporting a Board of Directors.
  • Direct experience working with people with intellectual disabilities/developmental delays.
  • Demonstrated experience of using best practices in supporting individuals.
  • Annual completion of a Criminal Background Check, including Vulnerable Sector Screening (VSS).
  • Non-Violent Crisis Intervention training.
  • Valid G-Class driver’s license for the Province of Ontario, access to reliable transportation, and valid proof of automobile insurance with a minimum liability of two million dollars for driving for business purposes.
