POSITION TYPE FULL-TIME (Mon – Fri/8am – 4 pm)

General Responsibilities:

Reporting to the Chief Executive Officer (CEO), the Executive Assistant plays an integral role in the successful mission delivery of the organization. The successful applicant must have previous success as an executive assistant, display commitment and confidentiality, and have proven professionalism and the skillset to support the leader of an organization with decorum. In addition, the candidate must exude a care and compassion through an understanding and respect of the RMHC Manitoba mission.

Key responsibilities include:

  1. Working with the CEO and Office Manager to prepare board materials, schedule board meetings, and coordinate supplies/meals.
  2. Preparing Board SharePoint with agendas, minutes, and other documents for Board and Committee meetings.
  3. Maintaining annual required documents for all Board members including CRC and CARCs.
  4. Ensuring meeting rooms, technology, and food/beverage services are arranged for in-person meetings.
  5. Compiling and maintaining Board listings (contact information, CVs, web portal profiles, etc.).
  6. Updating and managing filing and review of all operational organizational documents as directed.
  7. Supporting the CEO with development and management of the Board calendar with a priority on policy review.
  8. Supporting the organization’s accreditation of Imagine Canada and ensuring annual reporting and compliance.
  9. Assisting in preparing documentation for the Annual General Meeting.
  10. Supporting onboarding of new volunteer Board members with BSP orientation and document distribution.
  11. Supporting the CEO with Board orientation documents.

Skills and Qualifications:

  • Minimum of 3+ years of experience in an executive assistant or similar role.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and DMS software.
  • Ability to handle sensitive information with discretion.
  • Experience in non-profit organizations is an asset.
  • Strong organizational and time management skills.
  • Excellent interpersonal and communication abilities.
  • High level of professionalism and confidentiality.
  • Proactive and able to work independently with minimal supervision.
  • Dedication to the reporting staff with a steadfast commitment to professionalism.
