Position Overview:

Are you a highly organized, solutions-driven professional who thrives in a fast-paced executive environment? Do you enjoy keeping operations on track, maintaining absolute discretion, and acting as a trusted right-hand to senior leadership? BELFOR Property Restoration is seeking a dedicated and dynamic Executive Assistant to support our leadership team and help drive executive and organizational success. This is more than an administrative role — it’s a key position at the heart of our leadership team, where your contributions directly impact the smooth operation of the company.

Please note this role will be in-office full-time, based out of our corporate office located in Windsor, ON.

What You’ll Do

  • Provide high-level administrative support to the President, including calendar management, meeting coordination and minutes, travel arrangements, correspondence, and document preparation;
  • Act as the primary liaison between the executive office and internal/external stakeholders;
  • Maintain confidentiality while managing high-impact information and communications;
  • Track deliverables, key initiatives, and ensure timely follow-up on action items;
  • Support cross-functional collaboration across HR, finance, and business development initiatives, as required;
  • Assess inventory and process orders for necessary office supplies;
  • Plan and coordinate company events and leadership meetings;
  • Support monthly accounting processes, including Accounts Receivable, Accounts Payable, and expense reporting;
  • Support company safety initiatives as directed by the Health and Safety Department;
  • Perform any other reasonable duties as assigned by the President.

What You Bring

  • High school Diploma/GED;
  • 5+ years of experience supporting senior-level executives;
  • Proficiency in Microsoft Office Suite and Google Suite;
  • Self-motivated, resourceful, and solutions-focused;
  • Ability to work independently or as a team, as required;
  • Excellent written and verbal communication skills with a high level of professionalism;
  • Attention to detail with a high level of discretion in handling sensitive/confidential information;
  • Strong organizational skills with the ability to prioritize a diversified workload and meet deadlines in a fast-paced environment.

Nice to Have

  • Post-secondary degree or diploma in Business Administration, Accounting, or a similar field;
  • 1+ years of experience within the construction, restoration, or insurance industry;
  • 3+ years of basic accounting experience;
  • Proficiency with Chrome River and/or other relevant business and accounting software.

Job-Specific Training Provided

  • Comprehensive training of BELFOR internal processes, procedures, systems, and equipment;
  • Other BELFOR-sponsored training courses as required.

Working Conditions:

  • Due to the nature of our business, this position will work normal business hours but may be required to work in the evenings, on-call, or outside normal working hours;
  • Manual dexterity for keyboarding, repetitive tasks, and prolonged periods of computer use, demanding attention to detail and high levels of accuracy;
  • Periodic travel may be required.
