We are seeking a highly organized and detail-oriented Executive Assistant to join our team in Ottawa! The Executive Assistant will support our Construction leaders with a wide range of duties and includes office management of our Head Office.

Overview of Responsibilities:

  • Assist Executives with administrative tasks, including calendar, email management, and travel.
  • Develop business acumen to anticipate needs, independently anticipating the next step in a process, prompting the appropriate people, being resourceful and one step ahead.
  • Outstanding coordination of materials, information, organizational and time management skills with an ability to multi-task, prioritize tasks, deliverables, and meetings.
  • Act as a point of contact, a liaison for the business, communicating and acting in a supporting capacity in a variety of administrative ways.
  • Assistance with presentation creation and execution.
  • Process various time-sensitive information and data; prepare, maintain, and track correspondence and documents.
  • Develop and prepare reports, informational material, and assist with special projects.
  • Ensure efficient and timely workflow of information into and out of the department; with an emphasis on meeting scheduled deadlines and/or target dates.
  • Coordinate and co-facilitate internal and external meetings, as required, including action items, follow-up on action items, setting agendas, and working with team members on presentations.
  • Work collaboratively with team members to improve processes and streamline work in collaboration with the broader Executive Assistant team.
  • Support/back-up other administrative professionals when required (i.e., special projects/events, reception lunch/vacation, when required).
  • General office management of our head office.

Qualifications and Experience:

  • 3+ years of administrative experience at the executive level; financial acumen is an asset.
  • Strong written and verbal English communication skills.
  • Experience supporting senior executive teams.
  • High degree of professionalism and confidentiality.
  • Independent and self-motivated with the ability to work autonomously.
  • Strong organizational skills, with strong prioritization.
  • Ability to work on multiple projects simultaneously.
  • Proven strong ability in executive-level office administration, with advanced skills in MS Office.
