An amazing opportunity has arisen for an Executive Assistant, Sr. Associate Administration. You will support the Dublin Site Lead in our Manufacturing Division. This is an ideal position for a career Executive Assistant who works well under pressure, is a self-starter, is passionate about delivering strategic value and wants to work in a dynamic, fast-moving, collaborative environment.

What You Will Do

  1. Serve as the point of contact among Senior Management, Site Leadership Team, and other external partners.
  2. Manage the executive’s calendar, using discretion in scheduling appointments and gathering pre-reads and background information when appropriate with some calendaring support and collaboration with others in site leadership team and network peers.
  3. Organize and coordinate meetings and teleconferences.
  4. Handle and route critical communications from key external and internal stakeholders.
  5. Assist in agenda creation and provide meeting minutes when requested.
  6. Gather and organize meeting materials in advance. Reserve conference rooms and coordinate with appropriate departments for room setups, audio-visual needs, security, catering, etc.
  7. Handle logistics for Town Hall meetings, off-site meetings, and special-purpose events.
  8. Receive external visitors and ensure they are properly escorted at all times.
  9. Handle incoming telephone calls and manage routine matters and other requests that the Executive Assistant can address.
  10. Sort and review correspondence daily. Organize and maintain a filing system in accordance with policy.
  11. Process potential adverse event information according to required timelines and established policies.
  12. Schedule and coordinate complex domestic and international travel; create detailed itineraries and adjust as necessary.
  13. Manage expense reporting and purchasing.
  14. Assist with providing approval for resources, accounts, travel, invoices, and escalate to management as needed.

  1. Able to work under pressure and independently, handling multiple tasks accurately and with attention to detail.
  2. Handle sensitive data with discretion and confidentiality.
  3. Organize, prioritize, and coordinate multiple tasks, consistently meeting deadlines.
  4. Excellent communication skills for interacting at all organizational levels.
  5. Proactive in seeking opportunities and proposing solutions with innovative solutions.
  6. Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote).
