The Organization

Our client, Foundations for Social Change, is a mission-driven organization focused on testing innovative approaches to social issues through research-based initiatives. By piloting new programs and gathering data-driven insights, the organization advocates for systemic policy changes that drive meaningful impact.

Currently undergoing significant growth and transformation, Foundations for Social Change is seeking an experienced and proactive Executive Assistant to support the CEO and leadership team in ensuring operational efficiency, enabling leadership to focus on strategy, development, and expansion.

The Position

The Executive Assistant is a pivotal role providing high-level administrative support to the CEO. This individual will oversee calendar and email management, coordinate travel and expenses, act as a gatekeeper, and ensure seamless daily operations. The role will also involve setting up and maintaining key organizational systems, supporting board relations, and proactively managing the CEO’s workflow and priorities.

This hybrid role requires a presence in the office two to three days per week, aligning with the organization’s four-day, 30-hour workweek model.

Key Responsibilities

Administrative Leadership

  • Manage the CEO’s calendar, email, and scheduling to ensure efficiency and time management.
  • Oversee travel arrangements, including booking flights, accommodations, and itineraries.
  • Prepare and process expense reports, ensuring timely submissions.
  • Take board meeting minutes and ensure timely follow-up on action items.
  • Act as a gatekeeper, prioritizing and managing communication flow.

Operational Efficiency and System Management

  • Ensure meeting preparation is completed, including gathering necessary documents and briefing the CEO.
  • Manage reminders and task follow-ups, including travel time, document deadlines, and board relations.
  • Provide general administrative and intuitive support as needed to anticipate the CEO’s needs.

Stakeholder and Board Relations

  • Coordinate board meetings and stakeholder engagements.
  • Serve as a key point of contact for external partners when required.
  • Support board communications and logistical preparations.

Task and Project Management

  • Track and manage the CEO’s to-do list, ensuring deadlines are met.
  • Proactively follow up on action items from meetings.
  • Assist in organizational efficiency by identifying areas for process improvement.

Core Competencies and Skills

  • Strong organizational and time-management skills with high attention to detail.
  • Experience supporting CEOs or senior executives in a similar administrative capacity.
  • High level of initiative, self-direction, and adaptability.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information with discretion.
  • Comfortable working in a fast-paced and evolving environment.

Compensation and Benefits

The compensation range for this position is $50,000 for a four-day, hybrid, workweek, with health benefits. This range is based on market benchmarks and may vary depending on the candidate’s relevant knowledge, skills, and experience.
