Position Summary
We are seeking a highly organised Executive Assistant to support a cross-departmental team of management staff in improving overall operations and organisation by assisting with a variety of daily tasks as well as new and ongoing projects. Tasks will take place both in the office and in the greenhouse.
Main Responsibilities
- Prepare agendas and schedule meetings, phone calls, site visits, etc.
- Manage executives’ email accounts as assigned
- Attend meetings and take minutes
- Create, maintain, and enter data into various databases
- Generate new SOPs and update the formatting of existing documents and procedures
- Photograph products for marketing materials
- Perform a wide range of tasks including administrative duties as assigned
- Assist with projects across the entire organisation
- Support the improvement and organisation of internal operations and administration
- Maintain a high level of discretion and confidentiality when handling sensitive information
- Approach all tasks and interactions with a high degree of professionalism
- Utilise various technologies and Microsoft products daily to accomplish assigned tasks
Education
- High school diploma required
- Educational background in business or office administration an asset
Qualifications
- 2 years office/admin work experience required
- Experience in the horticulture industry an asset
- Fluency in the English language with excellent grammar and writing/editing skills
- Minimum typing speed of 70 WPM
- Strong computer skills and proficiency with Microsoft Office 365 products including Outlook
- Photography experience an asset

Physical Requirements
- Personal transportation required (location is not serviced by public transport)
- Must be able to clearly communicate via phone and computing devices
- Must be able to lift and carry up to 13 kgs (30 lbs)
Compensation
- Starting base hourly rate: $23.00 per hour to start, with opportunity for pay increases based on performance
- Company performance-based bonus: 0.5% of base salary paid once yearly in December
- Personal performance-based bonus: 0.5% of base salary paid once yearly in December
- Benefits: MyHSA Health Spend Account (value of $500) after 6 months of continuous employment
- Vacation Entitlement (Following Ontario Employment Standards): 4% of gross wages, 2 weeks = 10 vacation days per calendar year
Work Schedule
Job Type: Full-time, Permanent
Schedule: 40 hours per week; Mon-Fri, 8am – 4:30pm with a 30-minute lunch + 2 x 15-minute breaks
