Reporting to the Account Executive, the Executive Assistant will be a highly-organized, driven, administrative professional who thrives in a dynamic environment.

What You’ll Do

  1. Manage calendars, scheduling meetings, and coordinating appointments with internal and external stakeholders.
  2. Handle email correspondence, phone calls, and document preparation on behalf of Account Executive.
  3. Manage clients’ daily requests and inquiries, including money transfers, technology support, account openings, and updates, ensuring prompt and confidential follow-up.
  4. Generate reports and documents for Account Executive and clients as requested and processes items for client accounts and files.
  5. Organize travel arrangements, including flights, accommodations, and itineraries.
  6. Prepare and process expense reports, invoices, and reimbursements.
  7. Assist in preparing presentations, reports, and investor communications.
  8. Maintain investor databases and ensure timely follow-ups on key action items.
  9. Support the execution of investment projects, tracking deliverables and deadlines.
  10. Maintain confidential records, legal documents, and investment files.
  11. Build strong relationships and foster trust with clients to establish credibility and enhance the overall client experience.
  12. Ensure smooth office operations, including ordering supplies and liaising with vendors.
  13. Conduct industry research and compile market intelligence reports.
  14. Support due diligence efforts by gathering and organizing investment data.
  15. Assist in the preparation of financial models, summaries, and investment memos.

As the ideal candidate, you have post-secondary education combined with 2-3 years of administrative experience, ideally in a Financial Institution. You bring a high degree of professionalism and confidentiality to all interactions. You are proactive in your duties with a service orientation mindset. Experience with a portfolio management system (PMS) will be an asset. You will have strong organizational, planning, and project management skills, including demonstrated ability to manage multiple complex tasks and projects concurrently. You have experience managing and navigating through change, taking initiative to work through the unknown, and leveraging your skills to ‘figure things out’. You have excellent judgment and a high degree of interpersonal effectiveness with the ability to work with stakeholders across various levels, internally and externally. Being bilingual in English and French is an asset.

The successful candidate will be polished and professional, with a strong work ethic, great initiative to work in an exciting and high-performance environment. Flexibility to work in a constantly changing environment where priorities and deadlines shift continually is a must.
