Job Summary

Reporting directly to the President & CEO of Infinity Métis Corp. ‘IMC’, the Executive Assistant is responsible to provide comprehensive administrative and operational support to the President & CEO, along with other senior management members ensuring the efficient execution of daily responsibilities and strategic priorities. Responsibilities include but are not limited to maintaining executive schedules, facilitating internal and external correspondence, coordinating high-level meetings and travel, and meeting minute-taking and distribution. The Executive Assistant is expected to exercise sound judgement, maintain confidentiality, and operate with a high degree of autonomy while supporting cross-functional collaboration and organizational effectiveness.

The incumbent will conduct all activities in a manner that supports the mission, vision and values of IMC, as well as adherence to all established Policies and Procedures.

This permanent full-time salaried position is based on forty (40) hours weekly.

Duties and Responsibilities

  • Provide comprehensive administrative and office management support to all members of the Infinity Métis team, including the Board of Directors, as required;
  • Build and maintain effective relationships with senior and executive stakeholders, including Joint Venture partners and external collaborators; Exercise sound judgement in responding to emerging issues and shifting priorities, ensuring timely escalation of matters requiring Executive attention;
  • Prepare and format a wide range of documents, including correspondence, presentations, reports, meeting minutes & background materials;
  • Manage calendar for the President & CEO;
  • Coordinate travel arrangements and itineraries for senior leadership;
  • Plan and execute logistics for internal programs such as executive meetings, training sessions, workshops, special projects, and organizational events;
  • Review and edit documents, for executive signatures to ensure accuracy in format, content, grammar, and spelling;
  • Organize and coordinate in-office and off-site activities, including conferences, celebrations, and corporate events;
  • Troubleshoot and/or escalate office administration concerns to ensure efficient operations;
  • Facilitate clear and consistent communication across key organizational groups including IMC (Infinity Métis Corporation), MML (McMurray Metis Local) 1935, Local Council and IMC Board of Directors;
  • Represent the executive office with professionalism and courtesy to all stakeholders, including visitors, suppliers, and external partners; and,
  • Other relatable duties as assigned.

Qualifications

  • A post-secondary diploma in Business Administration, or relevant discipline, combined with a minimum of four (4) years administration experience is required; or,
  • A combination of relevant post-secondary education and experience may be considered;
  • Valid Class 5 Alberta Driver’s Licence, along with a clean drivers abstract is required;
  • Criminal Record Check is required;
  • Demonstrated emotional intelligence and strong interpersonal skills;
  • Strong critical thinking and problem-solving abilities, with a logical and analytical mindset;
  • Strategic planning capabilities paired with the ability to execute tactically;
  • In-depth knowledge of office administrative procedures and practices;
  • Exceptional attention to detail and a high degree of accuracy;
  • Self-motivated with a proactive approach to tasks and responsibilities;
  • Proven ability to manage time effectively and prioritize competing demands;
  • High level of integrity, professionalism, and discretion in handling confidential information;
  • Proficiency in Microsoft Office Suite applications; and,
  • Excellent verbal and written communication skills in English.

Qualified status with the Métis Nation of Alberta or fluency in Dene Cree are preferred candidate traits.
