Stream-Flo Group is currently seeking a full-time permanent Executive Assistant to work in Edmonton, AB.

Key Responsibilities:
- Provide intuitive administrative support to the President & CEO (President) and CFO.
- Ensure direct reports of President deliver materials on a monthly or required basis.
- Organization and completion of board report requirements; including all note recording and follow-up management.
- Secure and control all travel arrangements and Visa work permit requests.
- Oversee and support all international guests.
- Minute meetings and track actions for executive meetings.
- Complete SAP (ERP) reports as required for the Team.
- Support the Chairman of the Board and any Board requirements including travel and other needs.
- Oversee and manage supervision of Reception/Switchboard/Records Management.
Duties Include:
- Maintain the complex daily calendar of the President:
- Proactively organize and expedite office workload, coordinate meetings and schedule appointments.
- Serve as key liaison between the President and the Senior Managers.
- Prepare confidential documentation and general correspondence as required.
- Responsible for President and Executive travel arrangements. Initiate and maintain required travel visas as needed.
- Create effective presentations for meetings as required.
- Coordinate department files and records.
- Coordinate the relocation of employees including office arrangements.
- Ability to travel for Board Meetings and executive retreats on occasion.
- Coordinate Presidents/CEO activities to ensure no conflict.
- Support the Chairman of the Board as appropriate.
- Knowledge in international business travel and protocols.
- Provide administrative support to other senior managers as required.
- Handle any and all other needs of the Board and the President, CFO.
Qualifications:
- 5 - 8 years’ experience in a senior administration role is required.
- Post-secondary education in Accounting, Legal, or Administration/Business is required.
- Board report and document presentations experience is required.
- Financial acumen is preferred.
- Some lease-related legal experience is preferred.
- SAP experience would be preferred.
- Multi-lingual is preferred.
- Advanced skills in Word, MS Outlook, Excel, PowerPoint, Onboard, Xero.
- Advanced written and verbal communication skills.
- Attention to detail and accuracy.
- Very self-motivated and able to work under general supervision.
- Able to maintain utmost confidentiality.
- Ability to multitask.
